ACA Process

Can someone tell me if we still have to set up the test scenario in order to get this done? Do you have the process if all the screens have previously been set up?

Good Afternoon Carmen,

I am not sure I understand the question. What exactly are you asking with regards to the ACA Process? Is the question stemming from Year End Patching or from an application upgrade?

If it is from Year End Patching we go through the process of producing 1095-c(s) in our system, however, we know the data will not be 100% correct as it is from our test system. We test though to make sure all of the jobs are performing as expected and there is nothing failing.

If this is stemming from an application upgrade, then I would still recommend going through all of the jobs and run through a mock ACA Year End Process to confirm everything is working as expected.

If the question refers to the AIR File Submission and the testing validation, then my understanding has been no, additional testing is not needed. Employers only need to send the test communication 1 time. Afterwards they can send the 1094-c through the regular process.

Thanks for responding Tommy. I have just started my process for the 1095-C forms for payroll. I am trying to see if there are steps I do not need to do this year because the initial set up has been done and the system has been tracking offers etc. Normally I would follow a long tasc list but I'm thinking I do not need to do a lot of them anymore. Once you see that employees have offers BN29, can you just BN149 audit then run BN990? I believe I still need to do the test scenario "Scarlett Camen" for the payroll dept. to test the run of the 1095-c.

Hi Carmen - there is some setup that needs to be performed every year. Please take a look at BN27.1. I concur with Tommy the BN990 does not always assign the correct codes. This requires us to filter through the resulting codes to flag what codes needs to be corrected or if we even need to print that EE's 1095C (most end up being do not prints). Then we enter the overrides via BN27.2 or BN527. I also concur that if you have already sent the IRS test scenario in a previous year, there is no need to perform that task again.

There is something wrong on BN990, all my codes are 1H or E. I thought if I was tracking the offers, I would not need to run the BN729. What am I missing?

These instructions are mainly for the printing of the 1095-C. I need to get the information correct before this point. I ran the BN529 and it had a 2016 date on it. Where this came from I have no idea. I do this every year. Don't know what is going on.

Hey Carmen,

May I ask why you are running BN529 this year? When Infor first deployed the ACA Modules clients were recommended to run BN729 to generate the Offer/Safe Harbor Codes and then BN529 to upload those into Lawson for processing, however, this was a 1-time setup back in 2016. The BN529, in my opinion, should only be used if Health Plans are not built in Lawson (i.e. Unionized Employees). In that case the BN529 would be used in order to pull in the Offer information to get it correct on the 1095-c.

If it is determined the BN529 needs to be utilized then was an updated file loaded into the directory referenced by the BN529? The default directory, if memory serves me correct, is /work/ACAOFRCSV/ACAOFRCSV. If the BN529 output is giving data from 2016 then there a newer file was probably not placed on the server.

You're absolutely right Tommy. When we ran the 529, 2016 information showed up. So what am I missing for the information on BN990 not be correct?

Tommy, I was at my wits end trying to figure out what was wrong so I went back to the beginning of the ACA installation to make sure everything was still in place. I didn't think I needed to run a lot of the reports again but I didn't know what else to do. My Lawson Admin. just moved the file to the work directory, I just ran the BN529 again and all the records are in error.

My initial thought is did you check BN29 - ACA Offer Codes to see what is populated? Check to see if any detail has been populated for 2019 on employee records.

When update jobs in Lawson are run (i.e. BN100, BN105, etc.) is the "Update ACA Offers" flag flipped to Y or N? If it is flipped to "N" then that is the origin of the issue. The flag needs to be set to "Y" when making updates to Benefit Plans such as increases to cost sharing or when employees become eligible for Benefits (i.e. from Per Diem to Full-Time). If this flag is set to "N" Lawson does not take into account any ACA implications so it will not update any employee plans. In this case you may need to run BN729 again for 2019 and re-upload the data through BN529.

If the update jobs are flagged to "Y" and the benefits are still not updating then that probably points to an issue with the plan setup on BN15 (are ACA codes setup for the plans). It could also be something in the setup such as BN00.5, but I doubt that is the case.

Yes, I have offers on BN29, BN49. I have it set up to update ACA offers on BN100 etc... I have the BN15 plans set up for ACA. I will take a look at the articles. I am still waiting on Infor to follow-up with me. Thanks for taking the time Tommy.

No worries Carmen - we have all been at our wits end at 1 time or another with ACA Compliance.

If the flag to update ACA Offers is set to "Y" then there shouldn't be many reports to run to get the Offer/Safe Harbor Codes in place for benefits. What "file" did the Lawson Admin move into the work directory? Did the BN529 go into recovery or did it error all employee records? Here are a couple of things that I can think of off the top of my head that may be the issue:

1. Was the file moved into the correct work directory on the FTP? In LID put in JOBDEF in the Command Line and pull up the BN529 job that is trying to be run. Select the job and press F6 - Options to find the CSV File Distribution (if I recall correctly). It should display the file pathway the BN529 is looking at for the file.

2. What is the error received on the employee records? I am thinking the error received is stating the plan is not setup with ACA Offer Codes, which would make sense if it is a 401(k) plan the error hit upon.

3. Was the BN729 run to create the file that was moved by the Lawson Admin? What were the parameters used on the BN729? If you are starting back from the beginning the dates in the parameters may need to be updated to reflect 2019 dates. Otherwise you are just recreating the previous data and Lawson may not like trying to update Offer Information with the same codes again.

These are some of my initial thoughts. A screenshot of the error would be helpful though.
