HR11 - Enhancement Endorsement Request

Good afternoon,

I just opened an Enhancement Request for cell phone numbers to be added to the HR11 screen under the Address Tab. We just implemented a company wide alert system and need the capability to differentiate between cell phone numbers and land lines, as well as having the capability for this information to populate in our employee reporting.

As you all know, the deadline to obtain at least 10 endorsements in order for a request to move to the prioritization stage is May 31st.

We use an Emergency Notification System and had the same need. On the Address Tab - if you select More - it brings up HR20.1 - Additional Contacts - we created a type of Text/Cell and enter the cell phone information here. This way we have both the landline from the address tab and the cell phone from here to export to our Emergency Notification System. Not sure if that would work for you - but it does for us.

I voted to approve your request. It is something that our telecom department has asked for as they need to differentiate a landline from a mobile number for our Emergency Contact System.

However, if the enhancement does not go through have you thought about having the Home number represent a landline and the Supplemental Phone Number represent the Mobile Number? We have an integration with iCIMS, our Applicant Tracking System, that feeds over the New Hires. There is logic in the integration that the number they put for home is mapped to home and their mobile is mapped to supplemental.

The other thing to think about is people may not conform to your proposed fix. For example my cousin used to user her cell phone as her primary phone with no landline. So she would say that her cell was her home, which may defeat the purpose of this fix. Just a thought.

Thanks for responding. We have drop downs for personal cell phone and work cell phone in the HR20.1 Additional Contacts tab, however, we don't seem to have the option for this information to populate in our HR170 reports. The only field that we have the option of including is the telephone field from the HR11 Address tab, which historically has been used for any contact number provided. Are you able to run reports to obtain cell number from the HR20.1 screen?

I run 2 Crystal Reports to get the information - the cell phone I have to get separately and do a vlookup to add to the file. Not efficient or ideal - but it does work.....

Hey Cindy,

Can an employee update this information through ESS Life Events - Move? My understanding is the information on HR20 does not interface with ESS unless there is custom programming involved.

Where do you enter supplemental phone number? Through the fields on the HR20.1 screen?

The issue we have is that the alert system we use either needs a valid email address or mobile number to create an employee record. If someone uses a landline as their main contact number and provides it as opposed to a mobile number, the system will reject it when we attempt to upload the information.

We thought about having the telephone field on the HR11 be used for mobile number and moving the landline/home number to the HR20.1 Additional Contact Numbers screen, so at least we have the capability to run reports to obtain cell phone numbers. However, this would require us to change this information for thousands of employees, as it's not how we've utilized the telephone field previously. Not ideal!

On HR11 in the Address tab there should 2 address fields (Home and Supplemental).

On the telephone line the one on the left is "Home" and the one on the right is "Supplemental".

I totally understand the concerns over the reconciliation process. HR implemented a few years ago allowing employees to put their Mobile Number as their "Home" number, which caused a number of issues. We eventually backed out the change, but that was only for dozens of employess.

Prior to moving over to GHR, which allows you to setup multiple phone types, we also used HR20.1 to store cell phone numbers, phone numbers that accepted text, and pagers. To allow employees to update any of their phone numbers, we created a custom form using Design Studio that contained fields for all the different phone numbers. An IPA was then triggered to do all the updates.

We still keeps these fields updated in S3 using an IPA flow to update the phone numbers that GHR doesn't automatically update through their delivered interfaces. We also have an IPA flow that provides our Emergency Contact system with all the phone numbers that they require.

We are on S3 and also use an Emergency Notification System. Our work around utilizes the Emergency Contacts link within Employee Self Service - employees enter the word 'self' in the Relationship field to populate their home and cell phones. We include this step as part of new hire orientation.

We opened up the HR20 screen in ESS so our employees could maintain their own cell phone numbers and personal email addresses. We pass this information to our Alert System as well but find that the data is messy - there is no format edits for validating the input data - some are entered with dashes between numbers & some not, some have parenthesis & some not, some put in more than a 10 digit number, no area code, etc.

We would like to be able to expand on this screen so the employee could opt in and/or opt out for various alert options.

I understand now. For some reason, we always entered the same phone number for home and supplemental if there was only one number provided. Do you know if there is a way for supplemental number to be pulled in an HR170 report? I think the number in the first telephone field is the one that populates by default.
