Daily Allocation List Process

I hope that everyone is weathering the current supply chain environment well and staying safe and healthy! 

We are a mid-sized pediatric hospital struggling to handle the daily allocation reports we receive from Medline, our primary distributor. Each day, we get a new list of items and allocations, and have to manually review the list for changes. We then compare that with what items we have low stock of to make sure we are creating a PO for the proper quantity. 

How are others handling distributor allocations? My knowledge of Lawson is decent, but I am hoping that one of our community members might have ideas or recommendations on how to let Lawson do some leg work in creating automated POs based on allocation quantities.

This is information from our Inventory Control Analyst related to this topic.

We receive the same allocation report as Valley Children’s I assume.

CMH is fortunate to have our offsite storage for overstock so we may be going a different route than Valley.

We have been unable to use Cloudsuite to track Medline allocations. We too are tracking this manually.

 

Here is a quick outline of our manual process which is all done using spreadsheets and ISD queries/uploads.

 

Currently, Bob updates an internal Medline allocation book every week.

On Monday’s, I go through Bob’s report and pull out all stock items.

I then order 25 % of the remaining for the month (4 times a month) and spread the orders over a few days of the week.

Don’s team I believe is watching the non-stock items to make sure they meet allocation if needed.

 

If CMH has a sufficient SOH, we will not order our allocation amount.

If an item is deemed critical or of the PPE category, we order regardless of SOH.
