ESS Process

We are in the early stages of implementing the Employee Self Service system. We would like to allow our employee to change their address, W-4, direct deposit etc... however I was under the impression that these changes could all be pending until we process a PA100 to update the records.

I am being told by the vendor that none of these changes can be pending changes, is this correct?

Out of the box no transactions that run through ESS are pending. However, you can modify the program to change the action taken when the employee clicks on Submit to create a personal action rather than update the screen directly. I don't like making changes to the delivered code but this is one we did make on some of the ESS screens to control when certain updates take place so they didn't affect payroll processing.

That is correct, those changes are immediate.
That said, there is now the capability to lock out ESS during the payroll cycle (e.g. Payroll Lock-Out) but that would be a hard lock-out for a date or dates and not related to PA100 in any way.

To echo the above responses, ESS is immediate out of the box. There are a number setup screens to configure for email receipt of changes / updates. In addition, Process Flow can be used to customize the process to your needs.

Benefits updates can be set up to pend or make immediate.

We have notifications for address changes and direct deposits that are sent to the appropriate areas. We also have a flow to send name changes to the inbox for approval by HR.

Linda, we would most certainly vote on an enhancement request if you put one in. We are wanting the option of a pending state on updates as well.
