Accounting Unit Security
todd-brown
I was asked today by someone in our Finance department if it was possible to secure GL90 by accounting unit. I am sure that it is possible, but has anyone done this? If so how, have a rule or something for each accouting unit and apply those rules to each individual. I mean conceivably each person could need different acct units, correct?

Yes, we do it. Actually a lot more for process levels on the HR side, but we also restrict GL cost centers. I'm sure there are multiple ways to accomplish that, but the way we did it was to restrict it at the system code level, so users can't view those restricted cost centers on GL20, GL90, etc. I think you can also do it on the user record in SecAdmin (maybe the AccountingUnit Control field?). I guess you could use that if you had one single AcctUnit you wanted to allow/restrict. In our case, we had ranges, so we use rules.
And I'm betting you could build a rule at the GL90 level if you just wanted to restrict/allow certain cost centers there but didn't care about GL20, etc.
You might also want to think about GL95 and any reports (GL256, GL290). Been a long time since I looked at those but it seems like some of those provide odd results...maybe if you key in the cost center it gives you a security violation but if you run them wide open it will return everything. Can't remember for sure, you should test that out to make sure you can live with the results.

We use security to limit some applications by accounting units, accounts and activities. Basically, using the TABLE.ACCT_UNIT or TABLE.ACTIVITY to set the limit on the specific files, such ACACTIVITY or GLNAMES.
