Bill Only products
cpashley
I am looking for information from anyone who is willing to share how they deal with Bill Only type transactions. Our surgical department will have sales reps bring in products for a surgeon to use on a given day for a patient. How is your organization handling these types of processes with creating purchase orders, receiving items, etc. Any help or guidance would be GREATLY appreciated.

At this time we utilize a 900 purchase from for the vendor, Bill only comment code, PO529 and MA531. Any errors wind up in MA53.3. I am attaching a document with screen shots. We are always interested in new/better ways though.

Thanks vMcNamar for the very detailed process of which you use. What our facility currently does is not even close to this. Product comes in from Sales rep - buyer creates a PO in PO20, sets lines as service lines - never receives anything. This is the reason I am reaching out because I don't like the practice that is being done.

Our Surgery builds their RQ10 as regular with these exceptions: 1. Single Document to a PO = Y. 2. PO Code BO on each line. 3. PO Header Comments to Print on PO has Case #, Surgery Date and Surgeon.
When the PO100 runs the Buyer reviews the PO20 and changes the Ship to Location to BO (Billing Only PO). The IC02 Address states "See PO Comments".
Each day our Receiving Department pulls all open orders with PO Code BO and blind receives. This keeps our Last Cost Received up to date. That cost is sent over on an interface to our Patient Charge system.

Thanks derwin - Would you happen to have a document or screen shots of your process that you could send along?

We have a separate requesting location for the bill only. Example - the OR has 2 locations tied to the same AU - one for reorders and one for bill onlys.
The RQ01 has an Attribute BILLONLY Y/N. The Y are on an attribute list called BILLONLYLOCS and the reorder locs are on an attribute list called NORMALLOC.
The OR creates the bill only requeistion as the sales rep leave the paperwork with appropriate comments, etc.
The PO100s filter for Requesting Location Attribute lists - so we have the bill onlys create as unreleased with a comment code for the header.
We have a process flow that looks up the vendors and if it finds an issue method will change the issue method and release the PO. (Otherwise, the buyer has to)
We have a second process flow that finds all open lines for the req loc and receives it in.
These are products. This was per the CFOs sometime in the distant past as they didn't like the S lines as they don't auto accrue. By controlling the receipt, we ensure the GL hit is the same period as the revenue (the same month as the bill)

If it helps anyone, an enhancement was made to version 10 apps adding some Bill Only functionality. See KB 1444474. See KB 1449856 for usage in EDI 850 transactions.

Brenth,
Maybe you can assist with this question. I'm just starting to look the new Procedure Info tabs that Infor has added and I've got an incident open on this, but does the Procedure Info carry over from RQC/RQ10 to PO20? TIA
Brent Honadel
Yes. Procedure info entered in RQ should be available in PO20.

Thanks for confirming. I must be missing a setting or patch as the Procedure Info doesn't move over to PO20 from RQ in our current setup.

Hi Tammy
Most of our bill only products come to us as a replenishment feed we built from our cerner documentation system.
We capture the item, date of service, encounter number, patient name and serial number information from that feed.
The item automatically goes on to a requisition, and a line comment is created with the other data mentioned in the consignment record format developed by GHX. The vendor usually receives the PO within 2 or 3 days from the date of service.
On the receiving end, we take a feed from our patient billing system. When the encounter is billed, we pull that information and build an MA531 record to receive the item. any items that are not received can't be paid until the billing process is resolved.
