HR 55 Group - Based on Age
john-dykhuis
Has anyone ever created an employee group based on an age requirement? We have the need for a group; however, I can only find Birthdate as an optional field. I was hoping to use something that we would not need to manually change every year.

I have groups based on age and have to update them at the end of each year. That limits your benefits updates to be annual unless you have the groups overlap and manually move from one group to another the way we do.

Thanks! I am not following your mention of having groups overlap. The issue is that staff can elect to waive benefit coverage at any time at or after his/her birthday. I can find an easy way to create a group that can be used for a waive plan eligibility group.
Are you using Birthdate in your group criteria/

We have groups for 70 and over and under 70, which drives our basic life insurance. Since our insurance is a multiple of salary we cannot use the coverage reduction tables, so we have two plans, and move employees form one to the other as they turn 70 because the change is effective first of the month after dob. In order to only change the birthdate in the group criteria at the beginning of each year, those who turn 70 during the year are members of both groups and we manually move folks from one plan to the other.

I've never configured a benefit group in Lawson however there is field that displays current age. Assuming that you can access the table or use the field to perform an on the fly calc, can you use . . . Current Age from PAEMPLOYEE table to determine current age?
It's a derived field (calculated and displayed on HR11 in the 'personal' tab).

I can easily pull it from the PAEMPLOYEE table; however, I am not able to select it as a field used for criteria to build the Employee Group via HR55. I was hoping that someone out there would tell me that I was wrong and the field does exist. Or they had an alternative - maybe something I was overlooking on the employee group (HR55) or plan (BN15) side.

If a field exists I wasn't able to find it either.
We use a combination of the Birthdate Year and a HR Userfield. The userfield just being an attempt to build in a safety net into the process.
If either criteria match we include them in the catch-up group.
Since this is for the HSA Catch-up and the IRS rules are that anyone who turns 55 by the end of the tax year is eligible to start doing catch up at the start of that year, in theory we could go with just the Birthdate Year and remember to increment the criteria every year just before annual enrollment. But just in case that step gets missed for some reason, we also have a manual process to identify new 55 year olds and add the appropriate value to the userfield that kicks off periodically.
Not what you are looking for, I know. But hopefully it aims you in a workable direction.

We have not been able to use age as part of an employee group. You can use BIRTHDATE as you mentioned but you would have to modify the group criteria on a regular basis.
You may be able to accomplish what you need by leaving the eligibility group open but playing with the Entry Rule - BN16 does have a "Minimum Age" field. I assume the waiver plan would show for all employees but dated out to their birthdate. I haven't tried it out and it may not meet your needs, but it could be a viable alternative.
Otherwise you may need to look into a ProcessFlow to populate the eligibilty group as employees age into it.

We needed a way to identify employees 50+, so we created a userfield that is simply a Y flag for those who are 50 or older. If they are not 50+, the field is blank.
Then we created an audit report that looks for employees who do not have the flag but should and we run it just before every BN100 run - biweekly for us.
Then we add the userfield as needed based on the audit. The userfield is part of several of our employee groups on HR55.
