Emailing Statements From Visual Version 9.0.8

We were rather hoping that version 9 would bring some comprehensive emailing ability to Visual but sadly we are still struggling with things like customer statements which we need to send to all customers in one go. The problem is that there is no way of setting up an email template which explains who the email is from and what it contains. All you get is a subject line "customer statement" and an attached pdf with a fairly meaningless file name for the customer. I don't open emails like that because I'm worried about viruses etc.

Has anyone found out how to do this? Has anyone found a sensibly priced third party piece of software we can use?

We use a product called Logicity for Automatic Invoices from Bezlio/Saberlogic. We've used it for years. We email out anywhere from 100-400 invoices a day through it. I think it can do statements as well. We tried to use the Visual emailing system once we went to v9 but it wasn't bringing all the data into the invoices and not sending all of them. That issue may now be fixed with the new versions of Visual but we are still using Logicity. We can add in a standard subject line and text in the body of the email which includes a phone number if they have issues with the email. Feel free to reach out if you want more info.

Hello! It's interesting that you're using the Logicity application for electronic invoicing....we use it just for running internal reports and it works quite well. I'm curious how you are configuring the Logicity application to send separate invoices....I haven't seen a way to make it send multiple individual emails....

On a related note, I'm very interested in any methods or tools that anyone uses to send shipping confirmations - we are trying to use the Visual 9 "Print Packlists" with a custom QRP to send shipping confirmations but it has problems....you can't change the subject line (as mentioned) and you can't include a single selected contact....only contacts with the packlist box checked for email documents....

Dear All

We have been using a product called Spindle from a company called Draycir. It has worked very well for us in the past. You can email batches of invoices, statements, remittances etc as well as individual documents like quotes and order acknowledgements and you get to create a suitable template for each type of email. The software also stores copies of the attachments in a separate files on our server. The latter is a great help for having virtual files for the tax man. Basically, Spindle acts like a virtual printer but sends documents by email rather than printing. It does give you the facility of printing as well if you wish. The software is not cheap and I need to update mine due to Microsoft updates, so I had hoped that later versions of Visual would be up to the job. Sadly not.

Hi All,

We also felt that the standard Visual functionality for sending out statements without an email body was inadequate.

So, we came up with a cunning plan to get some text on the email that goes out with our statements generated through Visual. It's not perfect as it doesn’t address the recipient directly but it’s better than the standard solution.

We did this by:

Creating a dedicated email address accounts@******.co.uk – to give a professional feel.
We then used an email signature solution called Exclaimer that sits on our mail server and automatically adds the email body that explains what the email is about and who the statement is from above the “email signature” (simple to setup).

It's relatively inexpensive software @ £75/year for 5 users and it works with Exchange online or on-premise.
