PO100 run frequency

We run PO100 every 1/2 hour 6am to 6pm to create our PO's. We would like to change and run less often in order for us to allow more requisitions to combine onto PO's so we create less total PO's in a day. We are thinking we should run PO100 three times a day based on our vendor cutoff times.

We are interested in what others are doing. Can you share how often you are running your PO100 jobs?

We create Stock Warehouse Orders once per day for all warehouses. Nonstock orders are generated 4 times a day beginning at 7 ending at 3:30.

We are running our every 15 minutes 8 am to 8pm. Sorry - I'm not much help.

We only run once per day. Cut off time for requesters and inventory is 10:00AM. Any urgent orders, we need notification and we'll create from PO23.

We run 3 times a day. Our cutoff is 9:20 am for the first run. We then run a 2nd one at 10:30 to catch any late orders so that the bulk of our ordering is done by 11 am. This gives our hospitals the items they need for the next day's delivery. We have an afternoon run to catch all other POs.

We start our LUM orders at 7AM and run every 30 minutes until 10AM. Nonstock orders are generated 3 times a day beginning at 11AM and ending at 4PM.

Our stock replenish jobs are all setup in multi-step job sets along with a po100 for IC.

We have a few other po100's at specific times for specific vendors that are excluded from the main 1:00pm job.

We run bill onlys daily at 8am and have an IPA changing the issue method, sending it and receiving it.

We run the special shipping requests at 12 noon.

The "main" batch runs twice daily at 11 am and 2pm and our Admin Director is thinking of comboing them both to 1:30pm.

Buyers can and do push out anything from PO23 or have us run a req/buyer code/acct unit through a special PO100 job to catch strays.

EDI outbound runs every 5 min from 6a - 8p - but they take it offline while the two main batches run as we've encountered issues in the past.

We run PO100 hourly from 7 - 4 at :45. Then we run PO120 to issue EDI right after it and get it to the vendor before the top of the hour. There is an additional run to get POs and issue EDI just before 12:30 to hit our LUM deadline.

Inventory Coordinators manually run replenishment jobs and run AdHoc PO100s for inventory POs around 9AM (to account for morning par cart counting) and 3:30PM (M-TH on the afternoon run

We have also had issues with jobs stepping on each other.

Oh and I should add that the majority of PO100 jobs are set to Unrelease so the buyers can review. The LUM orders are the only ones that auto release. The EDI job is 5-10 minutes after the PO100.

No reason you can't go down to 1 or 2 times a day for nonstock orders. Most non-prime distributor vendors ship next day if orders received by 3-4pm. The issue with combining is whether you will combine reqs to pos by location or multiple location to a po. Multiple locations to PO may impact your receiving department as they will need to separate POs for delivery.

The other thing to consider if combining a lot of lines to a PO is the affect on matching. If you have discrepancies that don't get cleared quickly, could get you in a credit hold situation more quickly if the PO values are higher.

We process non-stock 4 times a day (looking to decrease), stock once per per day, clinical areas once per day(@ 2:30pm so we capture as much same day usage as possible), and lab once a week. Buyers do not have access to run PO100 manually.

We auto release all POs as we continually try to build efficiencies for the buyers. If the items have a vendor, pricing, and have been approved by Sourcing they go out the door without being touched by the buyers. They focus on their PO23 issues and processing those as quickly as possible.
