Changing Performance Evaluation Rating Scales after they've been launched

I recently pushed FY2021 Performance Evaluations out to our entire enterprise. Due to some pushback from swamped supervisors, our leadership has decided that they want to change our rating scale from a 5-step scale to a simple "Meets/Does not Meet expectations."

It is possible to effect this change on performance evaluations that have already been pushed out?

If not, will we have to delete all of the current evaluations and push new ones? And if that's the case, is it possible to capture the comments on evaluations that have already been completed and upload them to the new evaluations?

Hi Mark,

The short answer is no, and the long answer is worse.  When ANY evaluation exists against an eval form (even a historical one), you cannot change the form.  And changing the form sections is what you need to do to change the rating scale.  You would need to delete all evals, remove the necessary sections from the form, make the rating scale changes, re-add them to the form, then recreate evals.

Then, while it is possible to extract the comments before you delete them, depending on the number of evals you have to deal with, it might be a lot of effort to get them back in.  I believe the business class the comments are going to live in is EmployeeAppraisalCriteriaResponse - assuming you allow comments for each criteria.  There may also be some in EmployeeAppraisalSection if you allow section comments.  The key things for getting them back in are going to be employee, appraisal number, appraisal form and some kind of criteria identifier.  Assuming nothing else changes, the appraisal number will change for everyone because you will be deleting the current appraisal and creating a new one.  You can try incrementing that number by 1 and re-importing, but I would do a thorough check to be sure it looks good.
