In this session we went over various aspects of distributing content using Distribution Rules and Distribution Groups.

Question: Can individual / customizable reminders be assigned in relation to respective completions dates?
- Unfortunately distribution will not be able to assign specific Notification profiles to users.
Question: We have a list of users that we want to assign to a specific distribution group. However, we can't easily identify them using any of the available rule attributes as it is a very varied group of users. Is it advisable/will it still work if we create a distribution group but leave the rules screen blank and only add users via the white/blacklist? Follow-up: is there any way to bulk upload users into those white/blacklists, or is it only manual?
- In regards to the rules, you can utilize the listing feature in the manner you suggested.
- A recommendation for finding users with certain attributes is to create an Ad Hoc report that is uses the Users_V datasource and filter a handful of those users to see if there are any commonalities. Of course, even this might not yield the results you are looking for, however, it can assist in creating rules for some of those users.
- Unfortunately, there is no way to bulk upload users into the Distribution List.
Question: I am finding that the Rules have to be set up on the specific certification or catalog. If I add the rule to the distribution group on the user table they don't appear to be applied to certifications or catalog if the certificate/catalog is associated to the distribution group.
- In order for the content to be distributed to users via a Distribution Group, you will need to Associate the Distribution Group to the content, such as a Course, Certificate Program, Curriculum, Etc. In addition to this, you must run the Distribution process on BOTH the Distribution group itself, then the run the Distribution process on the associated item. Alternatively, waiting for the automated process to run, usually in the morning, will run both processes.
Question: If a user completes a course or curriculum but they get un-enrolled, will their credit/scores still remain?
- Removal from a Course will still have data associated about their completion. Keep in mind however, that depending on how an Adhoc report is created, this can impact those users.
Question: If keep existing users is unchecked, it will remove the users then?
- If Keep Existing users in Unchecked, it will remove the user(s). It should be noted that if a Distribution Group has Keep Existing Unchecked, but the associated Item(course, curriculum Etc) is not unchecked, the users may still be assigned to the content.
Question: If we have a course associated with 2 different distribution groups (part of 2 different curricula), keep existing users is unchecked, and remove users from associated courses/events is checked... if an employee changes job roles and is removed from the 1st distribution group and added to the 2nd distribution group overnight, would they be removed from an event they were registered in within that course?
- That is a unique scenario. If I understood correctly, if Course A is in Curriculum 1 and Curriculum 2 and those Curricula have different groups associated, will they be removed from the Course/Event if they change job roles. There is a possibility that the Distribution will remove the user from the Course and Event if the Curriculum where the user no longer matches the rules is processed first. They would then be re-added to the Curriculum and assigned to the course.
Question: I thought that when someone changes roles they will be removed from the group or curricula, but not from the course and event..?
- This will depend on the settings of the Distribution Rules and/or the Distribution settings of the Course, Curriculum, Certification, etc. Curriculum does have an option to remove users from associated content.
Question: Can you create a distribution ahead of time but not have it run until later? For example, If you want a course to be distributed on the first of the month, and maybe that first of the month is on a Sunday, is there a way to turn it on the rule/group on Friday but not have it run for 2 days?
- You can create a distribution group ahead of time and not associate it to content or leave it inactive until the time to activate has come. However, once you activate it, depending on when the Distribution Scheduler runs, it will run as scheduled. If you have a Distribution group that you activated on Friday Night, and your Distribution runs each morning at 5 AM, it will distribute content at 5 AM Saturday.
