Did you know about the Events option for Onboarding?
An employee's position in the organization can include changes such as:
- Transfers
- Promotions
- Rehire
You can add these changes as events in the employee's Onboarding profile.
Each event is assigned a numeric value to reflect their sequence.
For example:
- A hire is assigned 1.
- The employee’s next event, regardless of type, is assigned 2.
Adding Event Types
Customers can:
• Add, update, and delete event types and the corresponding Welcome Email templates; and
• Add, update, and delete translations for existing event types.
Note:
System event types cannot be deleted.
Before an event can be added to the employee's profile:
• The Events Types tool must be available on the customer's site.
• The desired event type(s) must exist in the list of event types that appear in the Event Type filters and reports.
Regarding Locales
Each event type is associated with a locale. Each locale can include its own unique event types and order of appearance.
To add an event type
1. In the Onboarding Console, under Configuration, click Event Types.
2. The Event Types menu opens. Click Add.
3. In the Add drop-down menu, click Add Event Type.
4. The form fields for the new event type appear. Complete them as follows.
• Code: Enter a unique alphanumeric code to identify the event type.
Note:
Any and all translated versions of the event type must be assigned the same code as the corresponding English event type.
• Description: Enter a brief description. It will appear on Onboarding consoles and reports.
• Locale: From the drop-down list, select the locale (language) associated with the event type.
• Order: Enter the position of the event type in the list of event types that will appear in reports, filters, and the Add Event form in Manage New Hires.
Note:
Each locale has a unique order.
• Hide: Ticking the Hide check box will prevent the event type from appearing in Manage New Hires console's Event Type menu.
• Welcome Email Template: Enter the name of the Welcome Email template that is used when sending/resending welcome emails from Manage New Hires. For example, StandardWelcomeEmail.
• System: Do not tick this checkbox. New event types cannot be set to System. System event types are standard and cannot be deleted.
5. Click Save.
To edit an event type
1. In the Onboarding Console, under Configuration, click Event Types.
2. Double-click on the event type to be edited.
3. Modify its form field entries as appropriate.
4. Click Save.
To add a translation
1. In the Onboarding Console, under Configuration, click Event Types.
2. Click Add.
3. In the Add drop-down menu, click Add Translation.
4. The form fields for the new event type appear. Complete them as follows.
• Code: Enter the same alphanumeric code to identify the event type as the corresponding English event type.
• Description: Enter a brief description. It will appear on Onboarding consoles and reports.
• Locale: From the drop-down list, select the locale (language) associated with the event type.
• Order: Enter the position of the event type in the list of event types that will appear in reports, filters, and the Add Event form in Manage New Hires.

5. Click Save.
To delete an event type
1. In the Onboarding Console, under Configuration, click Event Types.
2. On the left-hand side of the event type to be deleted, tick its check box.
3. Click Delete.
4. In the confirmation menu, click Yes.
To add an event to an employee's Onboarding profile
1. In the Onboarding Console, under Settings, click Manage New Hires.
2. On the Manage New Hires tab, use the search fields to bring up the employee's name.
3. Click on the employee's name. The employee's Profile form appears.
4. On the employee's Profile form, click Add Event.
5. A new instance of the employee's Profile form appears which is pre-populated with the employee’s account and personal information.
Note:
The Event Sequence number is updated to reflect the order of this event in the employee’s career in the organization.
6. From the Event Type drop-down list, click the appropriate selections.
7. Click Add. The event is added, and the Profile form refreshes.
8. Click on Other. The Other form opens.
9. In the Other form, enter the dates associated with the new event and any other information as applicable. (For field definitions, see Manage New Hires: Other in this document.)
10. Click Update. The employee’s event record is updated.
