Did you know about acknowledgements for HR Knowledgebase?
Situation
Employees must comply with their employer's mandatory policies.
A page on your HR Knowledgebase site contains a company policy.
Examples include:
- Anti-harassment standards
- Employee handbook content
- Equal Employment Opportunity (EEO) in hiring
- Safety regulations
- Security protocols
Employers need to verify and maintain documentation that employees have read, understand, and will comply with company policies.
A System of Record
- Acknowledgements on your HR Knowledgebase site serve as an electronic record to verify that employees have read and/or agree to the content presented.
- Infor can add an acknowledgement to any authored content page on the HR Knowledgebase site, as many as needed.
- Management can review user acknowledgements reports and export .csv files via the HR Knowledgebase site admin tools.
Types of Acknowledgements
- First Start Page (Reset) Acknowledgements reset the user’s first start page (the page that appears after the user has completed the acknowledgement).
- Acknowledgement Only type acknowledgements do not reset the user’s first start page.
Note:
There is one report for all acknowledgements per first start page and per language (locale).
How It Works
- The user accesses the page and reads the content to be acknowledged.
- The user reads the acknowledgement's text.
- The user clicks the acknowledgement.
- Post-acknowledgement text appears to the user.
- For First Start Page acknowledgements, the page as defined by the customer appears in the user's view.
- A record of the user's acknowledgement appears in the KB site's admin tools.
Accessing the Acknowledgements Records
1. Login to the live KB site at https://erc.enwisen.com/asi/login.aspx.
2. In the Knowledgebase Admin menu, click User Acknowledgements.
3. The User Acknowledgements console appears. Sort and bring up user acknowledgements via the following search fields:
- UserID
- First Name
- Last Name
- Acknowledgement [name]
- Acknowledgement Text
4. To export an acknowledgement report in CSV file format, in the upper right-hand corner, click on the export icon.
5. The acknowledgement report appears in your Downloads folder. Clicking on the .csv file opens it in an Excel spreadsheet.
For your system of record, the names and dates of the specified users' acknowledgements appear in the spreadsheet, including the completed acknowledgements' names and confirmation message text.
Guidelines
For each acknowledgement, provide the following information to your CSM:
- Type: Acknowledgement Only or First Start Page Acknowledgement
- Name
- Groups
- Acknowledgement text (character limit: 400)
- Confirmation text for the acknowledgement (character limit: 240)
- Time zone preference (EST, MST, CST, PST)
- The first start page document identification code (as applicable)
- The desired location for the acknowledgement (page, document code, topic, section)
- Any additional text that should appear on the page regarding the acknowledgement.
