Question on Shipping Instructions for shipping personnel

Quick question on where in Visual, would be the best place to store instructions to our shipping personnel instructions on how to palletize product or other esoteric shipping instructions. This could be specific to the customer level or shipping address or possibly even carrier specific. How do other Visual users address this need?

If instructions are Part specific we utilize Part CO Specs in Part Maintenance. If instructions are Customer specific (for all their parts and shipments) we utilize Specs in Customer Maintenance and we pull both into the Packlist so they are visible to our Shipping department.

As Bob mentioned, the Specifications are born and bred for this kind of use. Please note that with the Part (in Visual 9 & 10 anyway) there are 4 different specifications that can be set up: the generic Part spec, CO spec, PO spec, Mfg spec. The idea is different specifications to be added to Customer Orders, PO's, and WO's. Then you go to Customer Order Entry, PO Entry, and the Manufacturing Window, and use the Options menu to specify whether you want Specifications associated with Parts, Customer, Vendors, and Outside Serves to automatically pass to the CO, PO, WO.

Using Customer Order Entry Options menu, you can choose to pass Customer Specs (to the customer order header specs), Service Charge Specs (to the customer order line specs), Part Specs (to the customer order line specs), Part CO Specs (to the customer order line specs). You could check both part specs and have both of the part specs load if you want. These can then print on the acknowledgment and other CO-related documents.

Purchase Order Entry allows passing Vendor Specs, Outside Service Specs, Part Specs, Part PO Specs, under the Options menu. These can print on the Purchase Order and other PO-related documents.

In the Manufacturing Window, under Options as well, you can pass Outside Service Specs, Part Specs, and Part Mfg Specs. These can print on the Traveler and other WO-related documents.

So, for specialized shipping instructions, you have all the options needed:

--> A part shipped from stock needed special palletizing regardless of customer? Part CO specs, passed to the Customer Order.

-->A part shipped from stock needing special packing for a specific customer? Customer specs. But if its super specific to the combination of the Part and Customer, you might have to just type in the info in the Customer Order specs for that order.

-->A part dispatched to a vendor on a PO for an outside service?--If the part has to be packaged a certain way, then the Part PO specs. If the Vendor always requires a purple tag with gold leaf lettering and cookies for their receiving dept, then the Outside Service spec. If both, pass both.

-->A fabricated part shipped to the customer on a WO linked to the CO? Part Mfg Spec so it appears on the Traveler. If you use the Picklist, you can make sure the VMTRVRPT2.QRP shows the specs that are already available to that report.

I have seen Visual companies literally set up contract language in the CO and/or PO specifications. They are very flexible and practically have no limit on the amount of information you put in them.

Just a note: the Notations for CO, PO, and WO are not meant to print on forms, they are meant to be like an internal diary, complete with user and date stamp. The specifications are built into the standard Visual QRP reports--PLEASE NOTE--they appear as the "Long Description", like Part Long Description. In the Traveler, for example, you will see CP_PART_LONG_DESCR, CUST_LONG_DESCRIPTION (Customer Specs), OP_LONG_DESCR (Operation Specs), REQ_PART_LONG_DESCR (Part Description passed to the Requirement on the WO's requirements attached to operations), and the WO_LONG_DESCRIPTION (WO Specs, which could include the Part Spec and/or Part Mfg Spec passed to the WO using the Options menu).

Just one note on Parts specifications. When entering them in Part Maintenance, you have to have "Tenant" selected, not one of the sites.
