Dependent documentation

For new hires, we require dependent documentation prior to setting up benefits. Any suggestions on how to indicate the documenation was received? We currently maintain a spreadsheet. Considering using a field in HR13(e.g. address 4) or a user defined field. Would prefer linking with dependent in HR13.

We use the Consent flag on HR13 to indicate dependent documentation has been received.

We created a form called "Dependent Audit Tracker" which we connected to our ESS Dependent screens (We require documentation for all enrollments: New hire, Annual Enrollment and Life Events). The ESS screen requires that they "certify" that their dependents meet the definition of eligible dependent and that they provide proof within 30 days of enrollment. Their ESS activity creates a date stamp on the tracker form. We can then trigger reports and smartnotifications from the Dependent Audit Tracker form if the documentation is not received within the established time frame.
