Check Stubs and W-2's for Terminated Employees

We are currently using an ESS link to MHC Document Self Service for employees to access their paystubs and W-2's. Are there any others who are using MHC DSS to publish Check Stubs and W-2's.

Currently, when we terminate an employee, we remove their access to ESS. Payroll has to spend too much time printing out check stubs and W-2's for employees who leave. We are trying to develop a process for terminated employees whereby we can provide their final check stubs and W-2's without so much manual intervention.

Would love to hear how others are providing this information to their terminated employees.

I am in the IT department and helped implement DSS into ESS for both paystubs and W2's. For security concerns, once an employee is terminated they must contact the Payroll department for any paystubs or W2's. No further electronic access is provided.

We have both ESS and MHC DSS. For terminated employees their final check is printed using a customization that MHC provided. The customization recognizes the terminated employee statuses and prints a hard copy of the last pay stub.

W2 we print and mail them to all employees that have worked here for the year.

You can create an employee group for terminated employees and then run the pr297 just for that group

We use the MHC W-2 DSS. Currently, we have to print paystubs and W-2 forms for termed employees. Sometimes if an employee needs several pay stubs we run the PR261. We run a report to print pay stubs for anyone in a term pending status and we mail them. Once they move to a terminated status, we would only print them if they request pay stubs.

Although, our MHC W-2 DSS is currently configured to print W-2s for terminated employees. We obtained a quote and are looking at MHC’s BasicPlus Authentication option which will allow inactive employees to access their W-2s.
