Scanning Invoices for OCR

Anyone scanning invoices and using OCR to load the data into AP20? Our AP supervisor is looking to automate the invoice entry process as much as possible. They're currently working with a vendor but it's not going well. Do the MHC and Perceptive document management solutions have OCR capability?

May I ask why you chose MHC's AP Invoice Automation over INFOR's AP Automation application?

We have been using Ascends AP Invoice Automation with OCR capability since going live in 2010.

We are currently implementing a P2P solution that includes: PO electronic submission to suppliers, automated order confirmation, automated advanced/actual ship notices, automated receiving, automated invoice entry, and automated invoice matching into our system.
We spent 6 months weighing the various options to find the solution that would fit our needs best. We considered solutions offered by: Ascend, MHC, Perceptive, Corcentric, Wells Fargo, and Ariba.
We chose Ariba because the solution had the bulk of our numerous requirements. We did not consider OCR to be a must-have for this project. Instead, we considered paperless communication with our suppliers to be the goal. If you are looking for something that just does OCR, MHC and Perceptive will both work well, but if your looking for something more, it might be a good idea to check out some other options.

We are already a MHC user with our Lawson install. Adding this well established solution was our best choice and we already had a contract we could use. We are still on Lawson v9 and the Infor solution is v10+. Even if we were on V10, we would likely have stayed with the MHC solution anyway as it has an excellent track record and many clients that have been using it for a while. Adopting new Infor products has not been something we've had great success with. Waiting until there are many users and demonstrated success is more in line with our risk acceptance.

What exactly do these Invoice Automation applications do? Is the matching also automated? What is the OCR error rate? How are errors handled in AP20/MA43? If you have any documents with more info could you post here?

Once the system is setup, invoices are scanned, the software finds the PO#, etc., and does automated matching. Items that kick-out require manual review but the % of success is supposed to be very high. We have just started the implementation, so time will tell if the expectations will be met but based on many other clients using it, we are confident it will deliver.

For us it attempts to match all PO invoices, routes non-PO invoices to the managers to add the accounting information and approve and even reads the file used by MA540 to process EDI invoices to create images for these invoices and if they error out during the MA540 processing, creates the invoice in the imaging system for AP to work, just as if it were scanned and clears the error file from MA54. URL links are added to AP invoice screens that have attachments. All work is handled outside of Lawson until it is matched or approved. We also developed a Vendor add process using Ascend's workflow to allow Buyers or AP clerks to request a new vendor, go through the necessary approvals and then create the AP10 records for non-PO vendors and the AP10, AP10.2, PO10 and PO10.2 records for PO vendors from the data on the form so there is no duplicate keying.

Chip, it's been nearly 3 years since I started this thread and you originally said you had just started implementing. Now that you've been using MHC AP Invoice Automation for a while, how has it been going? Are you happy with it? Is the error rate higher than expected?

In fact just went to SWUG (South West User Group) for Lawson
Vendor solutions that were at that event was MHC and Ascend
