Now is the time to update your benefit plans for Open Enrollment!
If your Knowledgebase site includes authored benefit plans with costs that change annually, be sure to take note. Your employees will be using this information to choose their plans for the next calendar year.
Advanced planning is key. If you have received the Open Enrollment Letter and Questionnaire from your CSM, be sure to complete and return it as soon as possible.
If you have not received it—and you do not plan to update your benefit plans yourself using the Knowledgebase Content Management (KCM) system—contact your CSM promptly.
If your Knowledgebase (KB) site includes the KCM, you have the ability to add open enrollment information when you want it available to employees.
Things to Consider
Benefit plan changes
Open Enrollment traditionally entails updates to your current benefit plans for the next calendar year. For example:
- Medical
- Dental
- Vision
- Life insurance
- LTD/STD
- Retirement and savings accounts
- New carriers
- New SPDs
- New benefit plans
- Removing obsolete plans
Infor can:
- Maintain separate plans for separate plan years (e.g., 2023 HMO Plan and 2024 HMO Plan); or
- Include the current year and the following years’ information in a single plan; or
- Update the current year’s plan to reflect the following year’s information.
Non-benefits-related updates
- Changes to your company handbook
- Changes to posted forms, website links, and bulletins
- Updates to Frequently Asked Questions (FAQs)
Prepare all changes now and forward to Infor to begin the authoring and update process.
Please refer to Managing Your Open Enrollment Changes for details.
This document informs HRSD customers about the available options for managing changes to their Knowledgebase (KB) sites during Open Enrollment.
Communicating Open Enrollment Changes to Employees
Home page banner
You can provide a banner image to appear at the top of the Home page that contains language alerting employees about the upcoming Open Enrollment period. Should you choose this option, the image's dimensions should be 1430 x 200 pixels.
Open Enrollment landing page and widget
We can add a main (landing) page specifically for Open Enrollment to your Knowledgebase site, including a corresponding Open Enrollment widget to the Home page.
Refer to the Open Enrollment Page Planner for details.
The Open Enrollment Questionnaire
Be prepared to provide Infor with answers to the following:
- What are your open enrollment dates?
- Will you have new plans to be authored?
- If yes, how many?
- When are the new plans needed?
- How extensive will your updates be?
- Medical Cost Calculator updates?
- Active enrollment (employee must enroll/make changes) or passive enrollment (employee does not need to make changes)?
- Other pertinent information regarding your OE
