We have recently encountered an issue with the 1094C file. We were informed by the IRS that the monthly FTE counts for each of our entities appears to be inconsistent with the overall total FTE count for the entire year. Based on the number of 1095C forms created we have well over 4000 employees, however the monthly counts for January thru December do not reflect this. Based on our discussion with INFOR support we have been informed that the monthly counts should default to 0 (zero). ACA in GHR does not have the capability to provide or calculate the monthly FTE headcount in each ALE member. We are wondering if:
1) what values does everyone have listed on the 1094C form information tab in ALE Members? Is it left with the system default values or have you manually changed them
2) if you have manually changed the values where did you obtain the numbers? Was it a custom report, canned report etc that provided you with the numbers used and sent to the IRS
3) if you left the values in the 1094C form information tab with the system default, have you had issues or been contacted by the IRS due to discrepancy between your overall FTE count for the year with what is being reported on a month to month basis?
4) if anyone has had any interaction with the IRS on this issue where there is a question about FTE count, where can we find out information on what exactly the number do they need...is the yearly FTE count sufficient or is a month to month needed.
I have included screen shots of the INFOR screen in question & sample of the 1094c xml file
