Email Configuration

Hi,

I'm having a lot of trouble trying to configure the system to send emails to users who need to do an approval.

Does anyone have a guide or documentation for setting this up that I can get through? Or maybe someone can help me with screenshots of your configuration in the SAT to find out how to activate it.

Hi Christian,

We do not have any documentation, but we have configured e-mails to be sent.

Our first e-mail is sent to the employee's manager (approver) when an expense report is submitted. Then we have reminders at 8 and 15 days -in the case the Mgr does not take action. Whenever the ER is approved, the next in-line (per the workflow) will receive an e-mail - as well as the person who originally submitted it. The e-mail trail stops at the point the ER is exported to the ERP. The key is understanding the workflow and testing.

If no one has it already documented, I can put something together with respect to the "first leg" for you in the next few days and see if that helps.

Please confirm back if the workflow piece is working and that you just need to understand how to activate the e-mails.

Thank you, we have managed to get the requester to create and send the ER to the manager, the manager approves and it is sent to the auditor, finally the auditor approves and it is sent to the ERP and saved correctly, so we believe that the workflow is working correctly. The problem is that we do not know how to parameterize XM to send the emails in the process. In any case, if you can help us with your own documentation it would be very helpful. Hi Christian,

Our workflow is similar to yours - however, we don't have system-generated emails sent when the manager approves, when the report is sent to the auditor or when the auditor approves and it is sent to the ERP. We only have email configured to send when the report is sent to the approver, 3 reminder emails to the approver if the report isn't actioned within a specified timeframe (3/6/10 days), if the report is declined, if the report is resubmitted, if a report was submitted by a proxy, if a report requires more than one level of approval, if a report is recalled, if a report was adjusted by the approver or auditor and if a report was returned for more information. We've also set it up so that a copy of any system-generated email is to sent to one of our inboxes (so that we can pull it up easily as needed).

Attached are some screenshots of our email configuration within Infor SAT - they're for the initial email to the approver when the report is submitted and the first reminder email. I think the key is the "Triggers" tab and understand how to configure the activity transition. Thank you this is really helping us out a lot. We've already checked out the document and our workflows are pretty much set up the same way. We just haven't implemented the reminders yet since no emails have been sent out. When we looked into the NotificationDeliveryBkg in Manage -> Server -> Background Process Monitor, we get the following error:

Also, in Manage -> Corporate Data -> App Parameter, we've got the mail.host set to "mail.infor.com". Do we need to switch it to our own or will the default setting work? Any specific info we should place in there?
