Make Selection or Dropdown control in Cloud FSM form to select Document from Document management

I have a custom document type created in Document Management and would like to be able to select from a list of documents of that type in a form within FSM either via a dropdown or a lookup field.

Ideally the lookup field would show every document of that type currently in Document Management and allow pulling any of the attribute data about the documents into FSM for storage in a custom business class.

I have seen the Business context model configuration page in Document Management as well as the IDMItem type field in FSM which both seem like they could help here… but I have been unsuccessful in getting either to work how I want.

Is there a known common way of doing this or any examples of it being done that I could work off of?

Are you trying to get the custom document type to appear in the Smart Panel Widget (Related Documents) or are you trying to do something on an LPL form in FSM?

If you're trying to add a direct IDM Document lookup on an FSM LPL Form, I don't believe that's possible. If there's an associated FSM Attachment Business Class, e.g. PayablesInvoiceDocument were the document data is stored in IDM, you could add a lookup on that business class in the form, but I'm not sure that's what you're trying to do.

It sounds like maybe you're storing documents in IDM and you want the user to be able to select one of them on an FSM LPL form?

Depending on the attributes on your custom document type, you could use the Business Context Model to have the documents associated with an FSM record appear in the Related Documents Widget for a give list or form. You can add the Context Viewer widget to the Smart Panel to see what attribute values are derived in context (id1, id2, id3, etc.) for the FSM business class.

Thats correct, I have documents in IDM that I would like to select from within a LPL defined form in FSM.
Its not a 1to1 relation between them, so multiple entries/instances of my business class could connect to the same document in IDM

You mentioned associated FSM Attachment business class, is that to say a business class that does have a 1to1 relation with the documents? if thats the case would it be possible to create a business class specifically for the documents that automatically syncs entries from IDM?
Mostly trying to avoid the need to manually maintain a list of documents on FSM side when everything already exists in document management.

Is the LPL form an action form, e.g. you need to take action on the document, or do users just need to access the documents? If they just need to access them, using the Business Context Model / Widget might be the best way to go.

A while back Infor migrated the source document data for Attachment business classes to IDM. The FSM business class records still exist but the document data lives in the IDM repository. On some attachment business classes it is possible to move the attachment data to IDM with an invocation, but I don't think that will accomplish what you're looking for. Have you explored the Related Documents Widget?

I am admittedly a bit new to LPL/Infor products/Config console so am not entirely familiar with how either widgets or BCM work.

Our BA team has some images they want inserted into Invoices depending on the settings on the invoice itself, the images are stored in Document Management under a custom Document Type.
In order to facilitate the images being inserted I have created a custom business class that holds the information for the settings I need to match on as well as the image names and then added logic to the Invoice class itself in the form of Derive fields to pull the image name into the XML that is passed to IDM when the invoice is generated so that it can be used in an XQuery.

Currently the control on my form to do this is a free text field which is a bit prone to errors and requires anyone configuring it to know exactly what the images are named, I feel it would be better served with a dropdown or lookup that only provides valid options but have been unable to work out how to do that.

Sorry, still trying to understand what the end goal is. When you say the images are "inserted into invoices", are you embedding the image links on the form so they display on the form?

All good, thanks for being patient with my admittedly unusual request.

The Invoices are set up by the BA team in a standard way (BillingInvoice specifically if it matters).
The Team wanted images or other features of the final output document to change depending on the CompanyCustomer.CustomerMinorClass field of the invoice including a few Text fields and images (some legal text, some logos, etc).

I was able to create a business class of my own that contains all of the information they want swapped out depending on the Minor Class and then create a relation that correctly brings the data from my business class back to the individual invoices and populates it into the XML data list that gets passed to IDM when they go to generate the invoice PDF document.
Currently the field in my business class that controls the image is an Alpha field that takes the Name of one of the images in Document management which can then be used when generating the invoice by inserting as picture/barcode and changing the XQuery to use the image name to pull the actual image. I would prefer to have the field limited to only the actual image names/images that are stored in Document Management rather than being a free text field to prevent any mistakes if the field is edited.

Ah ok, I think I get it. Have you already tried embedding the images in the doc template? You might be able to adjust the content controls in the template to conditionally display the images.

We couldnt find a good way to just embed the images short of creating multiple independent templates, which ran into issues because the templates seem to be 1 per company active at any given time and we needed multiple variations to exist under one company.
We did ask the BA team if they would be willing to do multiple companies… which got a hard no because it would mess with their process too much or confuse their people.

I dont believe there is very much that can be done in the way of conditional logic within the template itself, especially with their being multiple images that could end up in the same physical location on the page depending on the settings.

So you tried adding IDM Image content controls in the template and conditionally hid them with different XPATH selectors?

I'm not exactly sure what your layout is, but I believe I've done something similar in the past with logos, i.e. different logos for different companies.
