PO25.1 Automated Notification for Expiring Agreements
Stace Webley
Does anyone know if there is a way to setup automated e-mails for agrmt administrator's in PO25.1 that shows agreements that are set to expire within a certain time frame? I'm wondering if Lawson would have a built in application that lets users know when an agreement they manage is about to expire through e-mail. I'm familiar with PO226 and it's function, so basically I'm looking for that in an e-mail on a regular basis. Thanks!

I believe there is a built in Process Flow Service/trigger that can be used to enable a process flow to send a notification to the agreement administrator on the Agreement Header (PO25.1). The notification will be sent when the value in the "Notification Percent" field is reached. So for example, you enter 80 in the Notification Percent field. When 80% of the approved spend for the agreement is reached, a notification would be sent to the administrator.
Now obviously you wouldn't have a Notification Percent value for a Contract type agreement, but you would for Blankets and Services. I suspect the Process Flow can also be built to notify when the review date is reached.
This will require that you have a staff member that can develop Process Flows.
Also the Contract Management application offers many contract approval options (also enabled by Lawson Process Automation, which is process flow for Contract management) if you own that product.
Hope this helps.

I couldn't find a Lawson provided flow in my library that provides a solution but I created a Crystal report for our supply contracts team the shows them all contracts expiring within 90 days, broken out by "Less than 30 days", "30-60 days" and "60-90 days". They access it as needed via a dashboard in LBI but it could easily be scheduled and emailed.

Thanks droldan and Jon. I'll explore both options and move forward from there. A Crystal report is both doable and not too complicated. On the other hand learning some Lawson Process Flow wouldn't hurt either...thanks for your responses.

You could also take the sql from the Crystal report and generate a smart note from it. It sounds like you have an excellent case for smart note usage.

Ahhh...yes...Smart Notes would be a great tool for this situation.

Good to know. I didn't think about Smart Notes...another tool I haven't experimented with yet.
