LP80 - Absence Plan Transfer Best Practices
unknown
We are look to see how other users utilize LP80 when transferring employees between absence plans. We have been having sporatic issues with employees accruing in two plans. Do you update dates on the "dates" tab of the screen. If so, what dates do you use? How do you ensure that the former plan is end dated so that they do not continue in both plans.
Thank you.

We had this issue come up recently, and I think it was resolved after we went back and looked at all of the relevant employee groups more closely. Employees were getting into more than one group because of the way we had set up the criteria. One thing that seems to be problematic with employee groups is using Exclude. We find it is much more reliable to Include a list of status codes (say) rather than Exclude one or more status codes. Lawson seems to process 'Include' more consistently in the Employee Groups. It means the criteria can get more complicated, and you may need more lines, but it's worth it!

We set the End Employee Plan flag on PR80 to Yes - this adds an Accrual End date to the old plan. Once the manual transactions created by LP80 are processed through the LP140, we manually add a Master End date to the old plan. We upload time records through PR530; if the old plan does not have a Master End date, we get an error message in PR530 if the employee is using time off because it compares the time record hours to the value in both the old plan & the new plan. Adding the Master End date stops PR530 from looking at the old plan.

We had to fine tune our process after we implemented absence management a few years ago. I'm happy to share our procedural document with you if you like which goes through the steps our payroll dept follows when transferring employees from one plan to another. Happy to chat with you on the phone as well. My email address is tblayney@regence.com if you want to send me an email or if you are interested in reviewing the procedures/steps our company follows.

We are looking for best practices and are looking if anyone has put together a document that they are willing to share. Thanks in advanced.
