ACA and unpaid leaves

We do not currently use the LP module for anything other than PTO. We haven't set up LOA tracking. Is anyone out there in our same situation who is willing to share how you plan to track unpaid LOA hours for the ACA hours report? Or willing to share whether or not we need to have those hours tracked. We're confused.

We track leave hours through specific pay codes (paid and unpaid) so the hours are captured in our system.

We just recently had a meeting internally to discuss how to track our unpaid leave hours. We also do not currently use the LP module for this purpose. We have proposed using non-paid pay codes that the managers/timekeepers/payroll can enter each pay period to log employee unpaid absences. For example, we would create an FMLA pay code that does not have any compesation attached to it but can be used to track hours on leave only. We would then pull this information out of the system in a file that we send to our third-party vendor to analyze for ACA eligibility determination.

SCockrell - are you calculating backwards to January and entering those "pay" records into PR? Or are you planning to somehow add them to the file after it's created? Honestly, this one slipped through the cracks while we were concentrating on the patch and worrying about other things.

We are hoping to use the new BN49, BN149, BN549 to track eligibility.

We honestly haven't gotten that far yet in our discussions either and are just beginning to decipher what we actually need to track. We do have a lookback period of 12 months and will also need to figure out how to account for these breaks in service that have already occurred.

Regarding Leave of absence... I thought we were only supposed to track hours that were paid to an employee and if we paid them... if the third party vendor paid them then they would send out the 1095C for that time frame.

I think we're all confused about LOA. Since we'll show coverage for those who were on a protected leave (FMLA, Workers Compensation), I'm unclear if we need to track the hours or not? Sometimes it seems like yes we do, and other things make it seem like we don't.

Our thrid-party vendor does not administer any of our leave or pay them - it will take the data that we send them and perform our eligibility assessments based on that information. Sorry if that wasn't clear.

In the KB 1650062 "Master KB Article - HRM Benefits update for the Affordable Care Act" there is a KB listed that may help regarding LOA's (or loading externally tracked hours).

The ACA data gathering CTP was released late last Friday. You should be able to locate it from the master KB article listed above.
