Required Certification Tracking in Lawson - PA08

We are tracking essential certifications on PA08 by Position number. There is a couple of scenarios we were curious if other healthcare organizations have and if so how it is being tracked. As well as, how other health organizations are maintaining certification entry by manager.
1. There are certain positions in which more than one certification can satisfy the requirement, For example a person may have the option to choose between four different certifications and as long as they have one of them that fulfills the requirement. Since PA08.1 just has a Y or N option there is no way to specify it just has to be one of these four certifications. How are other organizations tracking this?

2. Areas want to add a requirement for a certification for new hires but not require this certification for existing employees. Since PA08.1 is by position and doesn’t have hire date logic, how are other organizations tracking this?

3. Is there a self-serve form where managers can maintain certification information for their direct reports?

We have required licensure/certification set up on the PA08 by job code. We list all possible certifications for the job on this screen.

We allow our managers to update Nursing National Certificaitons in MSS using the Career Management bookmark. However, we do not let them update or edit any required licensure/certification information for their staff.

1. We utilize the Weight field to help identify 'or' requirements. In your example, the 4 possible certifications would all be assigned the same weight (we use 1,2,3) to indicate any of those certifications meet the requirement.

2. We have similar situations where employees have a grace period for acquiring certain certifications within a specified period following hire. To accommodate this, we do our compliance reporting via Access where we built these grace periods into the programming so employees would not show up as out of compliance during the grace period.

3. Our employees are allowed to update their license/certification through ESS. For those certifications which the supervisor needs to visually verify (i.e. BLS), he/she then completes that process through MSS. Licenses and some certifications are verified by HR through websites (i.e. DHHS or other licensing bodies).

We actually also use the weight field on PA08 to track the 'or' certs/licenses, and used the PA08 info to build notification emails via Process Flow to employees and managers (comparing PA08 requirements to PA22 employee data) with periodic reminders for the required licenses that are approaching due. This allows employees and management (and HR Business Partners) to know who isn't responding timely to getting their licenses updated, and allows managers to know when people are overdue (they get a daily overdue notice if they have an employee overdue with a particular license) so that the employee may not be scheduled to work, per our policy.

Very few licenses or certs are actually brought to HR anymore. We are able to look up almost all of them online, and because of a Joint Commission standard we wrote for ourselves, Primary Source is our practice.

We do not let anyone enter info in ESS/MSS, though we did contemplate it for a bit. We decided against it because we already have the notifications that licenses are due, and we are consistently looking things up before the next set of periodic notifications are sent.

We also follow cmeier's process for 'many to one' type requirements of using the weights.

Hit enter before I was done, sorry. We also don't allow employees to use ESS for licensure/certifications (we do for eduction) the only ones that are entered are those verified by HR explicitly for the purposes of determining eligibility.

We found too many folk wanted to track miscellaneous certifications that were completely unrelated to their work in the system who would then alternatively become angry over us utilizing that info and not utilizing the info they provided us.
