Uploading User Fields on HR11
shaun-fitzgerald
I am having problems uploading user fields with MS Add-ins. I can't get the upload to populate the correct field (on the second page of the user field created).
Does anyone have experience with this that can help me? The template I have is not working -- maybe there's a new version. We're on 9.0.1.8

If you already have a template, but you're not sure it is accurate, the easiest way is to add a record manually in Portal first, in order to determine which fields other than those you may be using are required. (CTRL+SHIFT+O will identify the field's database column name.)
Then, once you know that, you can build and save your upload query as a template within MS Add-ins.

I tried the same thing and it didn't work for me either. My solution has been to create a PA52 action to change the User Field. Instead of uploading directly to HR11 I do my upload to the PA52 action, and then run PA100 to change the user field. This works really well, and you also have a record in Personnel Action History of when the field was changed.

We also created Personnel Actions to update specific user fields. We upload to the personnel action to update if we have mass changes to make.

The absolute key in getting an upload to the userfields via HR11 to work is to determine the actual field number of the userfield you are updating. You can't rely on simply picking 'line 2'.
If you have table level access, you can determine the field number by consulting HRUSERFLDS. It will be the value in FIELD_KEY. There are other methods of skinning the cat though.
For the fields to include in your template the following list is from the header of a template I created to track RVSP responses to an awards ceremony:
Company - This one should require no explaination.
EMPLOYEE - This one should require no explaination.
Value - This is what you are setting the field to.
Effective Date - This is the effective date of the change. Mostly for audits.
FC - This will be A if the employee hasn't had the field set yet, otherwise C.
WS-FLD-NBR - The field number
HRU-FLD-NBR1 - The field number again.
The hardest part is getting the field number, if you don't have table access to peak behind the curtains then things get more convoluted and at that point I'd say it'd probably be easier to try going the PA52 route. Though PA52 uploads are their own special brand of 'fun'.

It is my understanding that you can only upload to the first page of user fields. We have named the field so that it shows in the first page, uploaded to it, then renamed it so that it goes back to where we want it in the list. I am attaching our upload for UF1.

If you want to upload the fields that are not on the first page you have to use HR515 user field conversion to upload. you have to prepare the excel upload and go through jobdef in LID to specify the file format and path and then run HR515.

We have 40 active userfields that appear on 8 pages and I have never had any problem uploading to any of them on any page. We use the exact fields on our template that Samuel provided. It's very easy to identify the userfield number by dumping the HRUSERFLDS table. However, in the upload template, the field number is preceded by a "20" in our version. So if the userfield key is "74" the field in the upload template is "2074". I've been using this template so long that I've forgotten why that works. It may have just been part of the template that was passed on to me but it works. Good luck!

If we use the user field conversion, we need IT to define it. So because I update user fields periodically, I found the quick, easy way is to edit the user field description to bring it to the top of the list on the HR11 tab. Then my upload edits that first record with a change or delete FC code on the add-ins file and always the change for the upload. I have attached screen prints. We are on version 10.0.4.

Just a note on the screen print...on the excel example the column headers were not adjusted ti the correct field name. The correct column headers example is attached.

Just a follow up to those indicating you can't upload to userfields using HR11 if the field is on the second page.
This is true when you aren't using the field numbers and instead are relying on selecting the 'line number'.
Using the two fields I listed to set the field numbers allow you to directly touch the field.
For example the userfield I was refering to is actually named ZZ-RSVP to force it to sort to the last page of user fields so that our data entry specialists didn't have to scroll past it.
Concerning Imelda's response of needing to add 20 to the front of the number, it's odd because we actually have to do that to reference user fields when uploading to PA52 but not when uploading to HR11. I guess that's a versioning difference.

Thank you, all, for you responses and valuable information. We ended up entering the user fields via personnel action, with an MS Add-in upload to the PA52.1, because we were pressed for time. But I will keep the information you provided for future use.

Thanks for letting me know about uploading by field number. We do upload to other screens using sequence and field numbers. Never thought of that for User fields.
Thanks for this information.
