ESS Benefit changes throughout the year

We currently use ESS for the open enrollment process and are able to use the data on BS31 to create a “full” file of enrollment data.

We are looking at using ESS for new hire enrollments/enrollment changes throughout the year. It looks like the ESS change process uses BS31 to store changes only, but we would like to create a full file of employee enrollment data throughout the year.

Does anyone else use ESS for enrollments throughout the year? Do you create a file of "changes only" or a "full" file throughout the year?

We use ESS for our new hire enrollments but we have those elections set to immediate update so they don't go through to the BS31. We send full vendor eligibility files every week.

Emily, how do you create the weekly vendor file? Do you use a Lawson program to extract the enrollments or do you have a custom process?

We use EMSS for open enrollment. The OE elections are "pended" so they are stored on the BS531 screen. We then use BN531 to process them. During the year, we allow new hires to enroll using EMSS. Life events during the year are done on paper forms that are then keyed by a member of the benefits team. We send full medical and dental files to our vendors every week. We use the BN106 program to extract the data, and then we have an internal process for reformatting those files to the vendor specifications.

Cyndie, I assume you are using the HIPAA processing for Benefits since you are using BN106 for the extract?

We use the BN106 program to extract the data each week but we are not creating an 834 file. Our IT department has created a process using OPENlink to dissect the BN106 file and reformat it to our vendor specs.

We're still manual on dental/vision but Medical uses a HIPAA 834 file. Our IT set that up so I'm not positive if they are using BN106 or if they wrote something on their own. I think we're using the BN106.

Like Cyndie, we still use paper for life events as I don't think the base Lawson product is robust enough to meet our needs for those life events.

I just ran BN106 with the validate option and was able to create a full file.
