HR staff and TM Private Notes

With the default HRGeneralist_ST security role that basically members of HR department can see the private notes submitted by their managers on themselves, I'm curious if other organizations have customized this role or if your organization made the decision that it was fine for HR staff to have the ability to read the private notes entered about them by their managers.

Our organization has requested a security role modification so they can't see these notes and I'm being informed it is quite time consuming and several security roles/classes will need investigated/modified. I'm just trying to understand if others went through this situation/decision.

I'm not sure if we had this particular situation or not, but we were unable to implement new security for our HR employees with the same limits we had in old security, not able to see their own records, or other employees at the same level, for example. Our only option was to use record level (programmatic) security which isn't compatible with new security, requiring all our HR staff to have two logins, one for their personal self-service functions and another for their core back office functions.

We figured this out if anyone might be interested.

The HRGeneralist_ST role has a security class assigned to it called PMMInquiry_ST. That security class gives full inquiry access for the generalist to the EmployeeJournal business class, which is why the generalist can see the private and public notes on themselves.

You would need to modify that security class (change the EmployeeJournal section), to say something like:

EmployeeJournal BusinessClass

is accessible

for all inquiries

when (Employee.IsNotEmployee)

By default it is

EmployeeJournal BusinessClass

is accessible

for all inquiries

unconditional

We created a custom PMMInquiry security class and then changed our custom Generalist role to use that class instead of the delivered.

Works like a charm.
