Linking New Items to Old Items

Hi,

We are curious to see if anyone has a successful process focused on tying new items to the old items they are replacing. For example, we have item A that is no longer wanted and is going to be replaced with item B. Has anyone found a way to effectively tie the new item B to the original item A? We are wanting to track this information for historical purposes.

Also, does anyone know if it's possible to alter what information is displayed within RQC? In particular, we would like to replace the manuf code/div with the potential replacement items.

We utilize the Item Master Description 2 field for this. If we have Item A that is being replaced by Item B, then A Description 2 field will show REPLACED BY B and B Description 2 field will show FORMERLY A.

We change Description for inactive items to read [ITEM#] VOID USE [NEWITEM#] - If someone asks "What did Item123 used to be?" We search Description for Item123.

UPC can also be populated if it's unique. That actually shows on RQC because we toyed with the idea of putting an Epic field there.

For incactive items, we put the replaced by in Description 2. For all conversions, we use 2 users fields on IC11: one for "Replaced By Item" and one for "Replaces Item". This allows us to query out historical usage for an item number.

We're using the Replacement Item field on the first tab in IC11. It sounds like that's not what anyone else is doing. Just curious, is there a reason? Does that field drive some kind of activity in the system that I'm not aware of?

No - it's just that replacement items can be subs and don't add to the historical usage problem. They used to get picky about UOMs as well - but that may have been fixed.

We just had a workaround for them and have never gone back.

RQC does not display inactive items when a user searches the catalogue. This is true if the user is placing a req for a location and that location record is inactive or if the IC11 item master record is inactive. When you enter data in Desc Field 2 (or the new Desc Field 3 for that matter), how do you make this visible to requisitioners? How do they know that they should now order item 456 instead of ordering item 123?

You could move the description 1 field to the description 2 location and add some type of note to description 1 informing associates what to order. You could also research the replacement item field in IC11.

We put a note in Description 2 - Use #456, and in item alpha 1 user field.

The requester can't see the information since the original item has been inactivated in IC11 but we do it for our staff when we field the calls. We send out product change information whenever something changes. Item 123 has been replaced with 456; item 123 has a temporary sub and here are the differences; etc. We reference the old item number (123) in User Field Item Alpha 1 since it is searchable on RQC (not visible but searchable so if you put in 123, item 456 will come up) and finally, we update all of their templates with the new item number.

We have tried all of those and have settled on populating Desc 2 and also IC32 (synonym) with the old item # as the keyword and the new item # as the synonym.

The IC32 is genius but isn't working for us because we have item numbers with dashes so it doesn't recognize it.

I'm not familiar with IC32. Can you explain how you are using this?

IC32.1 is the Synonyms table. It links Keywords (usually a word in one of the item master description fields, but can also be in the vendor description, etc) to synonyms. It works when a RQC user types a synonym it can find the keyword. I.e. in healthcare nursing has many names for different items that what we call it in supply chain. Chux are a great example as we call them underpads. So in the synonym table we have the keyword of underpads (IC11 Description 1) and a synonym listed as chux so that clinicians can find it easier in RQC. You need to run Keyword load (IC800) as well as Keyword Search Setup (IC00.5) populated for it to work.

We wanted to use that, but the synonyms don't seem to work when you are searching templates. It looks like they only work when you are using Search Catalog. Has that been your experience too?
