Changing ongoing balance limit for PTO accrual

We are attempting to change our ongoing balance limit for PTO accrual (we are lowering the amount an employee can have available).

We changed LP04.4 (created a new table for 1/1/17) and changed the table on LP03.4. Ran payroll and nothing happened (there are people over the balance and PTO should have been taken away).

Has anyone done this with their LP plans? Hoping we just missed a step. Thank you in advance!

Hi Nicole. This is "working as designed". We change PTO limits all the time. If you set a limit lower than what is in the available bucket, it will not reduce the existing hours. The only measure it will take is to not continue to add hours to the bucket until usage has lowered below the new limit. If you want to reduce existing hours, you will need to do that manually.

Thanks Jane. But ours didn't stop them from accruing either. I'd be fine with taking away the hours over manually, but I need it to stop accruing also.

You may want to check the Reset Date/Reset Point, the Ongoing Balance Limit or Carryover Limit fields in LP04.3 Limit Rules. It may be applying the limits only at certain points - not every pay period.

When we changed our limits, I added new record on LP04.4 and added new Limit Rule on LP03.4 . THEN I added a new effective dated record for the Absence Plan on LP02.1 with the new Limit Rule. This worked for me. No one had an accrual that was already over the new limit.

If you do not want to add a new effective dated LP02 record, you will have to update the Limit Rule for the affected plan on LP02.1.

Thank you Lisa. I did pretty much the same steps except for putting in a new effective date in LP02.1, I just changed the limit rule. I did not change the names of the records, just the effective date (in LP04.4) and I'm wondering if that would make a difference or not. Lisa, when you changed the effective date in LP02 did the employees get re-added to the plan? Or did it just update everyone as of the new effective date.

Our accruals are set to check each pay period for the limit.

As previously stated, you do not need a newly dated LP02 record. We simply update the limit table attached to the existing limit rule. Here are some of our settings: On the Limit Rule, in the Ongoing Balance Limit we are using an Hours table type, Balance Limit type = 2 (plan employee group) and Bypass Limit Flag is blank for Do not bypass. We do not use Annual Accrual limits or Carryover Limits so these are blank. On the Cycle based Limit table, our table type = 1 for Hours based, we have a variety of cycle frequencies, and the Cycle Service Type = 2 for Plan; employee group. Feel free to contact me directly if you need additional help. Like I said...we do this all the time. We have times when we temporarily lower the limit to allow a group of employees to "overload" their buckets due to special circumstances, and then raise it again to prevent further accruals but allow access to the extra hours.
