Anyone Using EMSS Lockout (HS18.1)?

Greetings all,

Payroll has requested that EMSS Lockout (HS18.1) be enabled to lockout employees during the two days they run bi-weekly payroll. The EMSS users guide is rather sparse on information in relation to HS 18.1. I'm hoping some one on here would be willing to share their set knowledge and best practices.

HS18.1 is news to me. We replace our htm files that each bookmark we want to block, with a temporary file that lets the Employee know that the availability of the link is down until Payroll closes. We use a process flow to replace the files, and revert to the real files at Payroll's discretion.

HS18 is a newer form that came out late 9.0.1 series. It may work for you. We have custom code in our ESS processing that looks for the **** on the PR00 form - PRsystem??? table that controls employees ability to make changes that would affect payroll.

We do use this for our payroll processing. We have a process at the end of each year to update the calendar. It is a little confusing the first time . You do have to create a rule for each pay plan you have and also with each type of change you allow Direct Deposit, Address and Tax I do have a document we use and would be happy to answer any other question. It is a little time consuming but once you do it for the year don't have to worry about it each payroll.

We've used HS18 since we went to version 10. It works great, we just update it after closing payroll every year and we don't have to think about it. We have it set to block the bookmarks from Tuesday through Thursday.

Two weird things about it. I think you need to use the delivered bookmarks for Tax Withholding, Direct Deposit and Address change for it to work. You can change the description and such, but I think it uses the ID to do the lockout.

The second weird thing is that the Pay Period dates listed aren't the dates for the payroll you're processing, but the dates that cover the time when you're processing. The lockout dates have to be between the payperiod dates.

For example, if you're processing the payroll ending 8/12/17 from 8/15/17 - 8/18/17, then the lockout goes between pay period dates 8/13/17 - 8/26/17.

We stated using it a few months ago. As long as the dates are consistent and in the same pay period you can use addins to load the dates for the entire year. Because our direct deposit lockout is odd and extends different pay periods we have to manually change it every two weeks

We are a cloud client so I don't think this is an option.

Search for the KB article HS18.1, the biggest lesson we learned is that you have to grant the HRSelfService roles rights to the token either HS18.1 or HS18.2 so they can validate if they can make changes or not. If they don't have rights to the token, then it just lets them in to access.

Thanks, I did see that KB but not being a DB admin I wasn't completely sure what it meant. Right now I'm waiting for I.T. to enable the EMSS bookmarks in our Dev environment so I can play around with HS18.1.
