Floating hours in payroll to gl question

I'm in IT and don't have all of the details on this but hope I explain enough to see if anyone can shed some light.

Payroll and GL both in S3, version 10

We have employees who have a primary job but float hours between various departments.

It's my understanding these still record to the GL for their primary job/department and then our GL dept has to manually adjust to the correct dept.

Does this make sense?

Are they using PR23 Payroll Distribution to split the time between departments? With PR23, the hours in payroll are recorded under the primary department but the PR23 splits the expense for the GL based on the percentages set up on PR23. No manual adjustments are needed.

We change their position in our timekeeping system and then the accounting unit is changed/entered correctly from the default value on the position code to the time record. We have employees float between units frequently.

Those permanently assigned with a distribution are done via PR23.

Process level, department, position and expense account information can also be updated on PR30/36 for each individual time record.

Our employees make the change in the timekeeping system so the time records come into Lawson with the correct GL info to begin with. For employees who have specific percentage splits, we actually do those in the timekeeping system as well. This is most often for managers who have parts of their salary budgeted to different cost centers.

If they are working the same position and just float from one department to another (RN working in the ICU floats to Med/Surg, same pay rate), then similar to other replies, we do this in the time and attendance system. Employee swipes and keys in the accounting unit number they floated to at the clock.

If this is for employees that have multiple roles, we've set them up with multiple positions as their hourly rates might differ between positions. Employee swipes and keys in the position number so that the position will feed the correct hourly rates and accounting unit to charge in the g/l.

If an employee's salary needs to be allocated - 50/50 between two cost centers, then we do this on GM10 (or you can also do it on PR23).
