Lawson MHC Software Implementation

We are looking to purchase and implement MHC software for W2 online viewing and printing. We are being told that it is about a 2 week process to do this. Can anyone provide me with any feedback as to how your implementation process went? As well is there anyone that has implemented that would be willing to discuss their experience?

Timing is always interesting. It depends on so many factors. MHC make it very simple and their support is great.

That timing is similar to our experience when we implemented in 2012. Our implementation experience was very good. I agree with Margie, the MHC support is great.

As with any project, if you have all the pre-reqs completed and have competent staff to handle the "Oh by the way" questions/statements, that timing seams reasonable.

Are you planning a single instance or multiple (i.e. Test & Prod) environments?

By on-line, do you mean intRAnet (corporate) network viewing only? If intERnet (external) viewing, do you plan to have an external security team validate that only the MHC apps are accessible. If not you might be exposing more to the world than just MHC DSS data.

MHC Support is great! They work with you and we have always found them very collegial.

Our initial install has been so long a go, I don't remember how long it took. Our upgrades (usually re-installs because we get new bigger/better hardware) take time less than listed.

Would prefer to have Test and Prod. But our main goal is to not print/stuff/mail W2's this year. I know we could utilize an external service but prefer not to. I never promote doing something to Prod only, unless they way it is setup it won't interfere with production processes.

Again I would like to have intERnet (external ) viewing but will error to only having intRAnet(corporate) if that is what we can reasonably accomplish in a short window.

We are dealing with some limited IT staff time due to a fairly large project going live Oct 28. I am getting push back from them about not having the time and they are balking that it can be accomplished in a 2 week time frame. Seems short to me but that is why I am soliciting feedback.

Realize that according to IRS rules, you can force someone to go electronic. That means that you will have to print *some* documents. Based on: 1) How technologically savvy your staff is, 2) How well communicated the change, 3) how easy it is to Opt-In, 4) Incentives (gifts, bribes, getting W2 earlier, get your own reprints, etc.) your adoption rate will vary.

Ours was over 10% the first year and has been going up every year so far. The dropout rate (Opted-In then later Opted-Out) has bee very low -- meaning our retention rate is very high.

One Important note: You will need specific training to not have staff email their W2 to their home address.

Distinction: MHC only sends a communication when the W2 is ready for viewing (you choose the wording on the email). The MHC email does not contain the W2.

Commonly, employees will then view their W2, download a copy, and email it to their home/personal email account.

Thus THEY expose their W2 information to anyone on the email/web/network servers that the email travels.

Does anyone have concerns about long run times for Importing and Posting in MHC? We have one file with around 30k W-2 documents. Importing takes about 2 hours and Posting takes about 6-8 hours. I would love to discuss if anyone has comparable or larger files and less run times.
