Benefit New Hire Enrollment

We are allowing our employees to enroll on line within the first 30 days of employment and they are effective the first of the following month. The issue we are running into is as follows:

An employee is hired on April 2^nd and becomes benefit eligible on June 1^st. The benefit rule allows for an employee to register for benefits within 30 days of hire. The employee logs on to register for benefits on May 15^th but the system will not allow the New Hire Benefit Enrollment to take place because the employee has been employed for over 30 days even though we give them through the end of the month to enroll.

Is there a way around this issue?

Hello,

We have not found a way around this, but have utilized the Seniority Date field instead of the Hire Date to manage the open window for new hire enrollments and also when an employee's eligibility has changed during their employment. The rule on the BS05.1 (Benefits New Hire Rules) screen is 31 days from the Seniority Date. So far this has been working out well as we encourage our employees to enroll as soon as possible and for the few that do not but are still within their window of time I just update the Seniority Date to a later date on the HR11 screen and then they can enroll as soon as I make that change. Also we have a process flow set up that automatically updates the Seniority Date when an employee goes from not benefit eligible to benefit eligible to the effective date of the change so they can utilize the New Hire enrollment to enroll via ESS too.

WE only allow them to enroll in the 30 day from hire window regardless of effective date. Isn't that a legal issue with Section 125 benefits? Too long away from those details to remember that. The other thing we do is utilize BD4 for the businesses that actually meet with employees prior to their first day of employment. We have BS05 set to 45 days from BD4 and BD4 is set 15 days prior to hire date.

What date are you using for your benefit effective date if you are using BD4 for the entry rule?

The effective date of benefits is still driven by the plans. The BD4 is used for the calculation of days that an employee can go through New Hire Enrollment . If I were hired 05/03/2018, the BD 4 would be entered as 04/18/2018, I could elect benefits until June 2, 2018. Their benefits would become effective July 1 if the rule on the plan were 1st of month following 30 days. At least that is how I remember it. It has been a while since we set it up.
