About four or five years ago our AP department was moved from Finance to Supply Chain. Overall, I think it works much better for everyone as most of the issues that come up can be resolved in a quicker and more efficient manner. They physically reside in Supply Chain as well which helps with the "teamwork" aspect of PO/Invoice issues.

Thank you. That is exactly what we would like to accomplish. Some time ago we had one AP clerk reside in Purchasing and the communication between both sides improved tremendously. Does your AP also run payroll?

No, Payroll is separate and is still part of Finance.

Thanks. That's the cause of some pushback from our corporate CFO. That the same AP clerks that process invoices also run payroll.

When we went live with the full ERP, we went with a single procurement company and single HR company. Accounts Payable is part of Procure-To-Pay and Payroll is part of HR.

AP, Finance, HR and Materials is all under one company set-up wise in Lawson. I'm more interested in the reporting structure for AP. I assume in most systems, as with ours, they report up through Finance. We would like them to report to Materials and are wondering if anyone is set up this way.

Our organization's structure has numerous entities within Lawson. The AP staff are broken down to certain entities and to certain elements of AP - like employee expense, capital, etc. The AP staff work with the buyer that is associated with the purchase order when there are problems. I agree that having AP and MM held under one direct supervisory situation can promote team building - training would be much easier for new hires also. Our AP and MM Directors report up through the CFO. We tried bridging the gap years ago but there have been some control issues.

We are broken out into three separate departments that role up to our Senior VP of Shared Services. Accounts Payable, Vendor Services and Supply Chain Management. I manage both the AP and SCM systems. All reporting under one VP keeps us closely aligned.

You manage/support the system for AP and Supply Chain? If you have access to both AP and Supply Chain functions how do you reconcile this with internal/external audit. I support AP in a kind of pseudo capacity. I only have inquiry access to AP functions so it's difficult to troubleshoot PO related issues that come up.

I don't have full access to AP for changes. I coordinate, help design and oversee how it's used along with all a/p related systems. Segregation of duties is something you have to be careful about in the scenario.
