You mean for the longer upgrade downtimes?

Our warehouses have an "after hours" procedure to log all the issues done by security in the off hours. They tend to follow that. They also have printouts of IC281 for all the locations. Once back up, they key them or upload them into IC21 and just issue out the stock as needed.

Receiving holds on to the packing slips. When the system is brought up we process any EDI and they receive in the rest. We have a "Downtime Packing Slip" on our report center from our data warehouse - this lets them print lines from a PO and see the req locs, etc.

We have a "Information Page" that RQC users see before entering RQC and we put up a notice there to get all the reqs in by a cut-off time, etc. They are expected to order up enough to last through the down time.

In SCM, we create blank headers of various PO Codes and use them as "emergency" POs for the downtime. Someone is appointed to give out the POs and get the department, vendor, buyer, dock. They send this to the dock via email nightly so Receiving knows where to take the stuff. The buyer is responsible for placing the order by phone with the vendor and keying in all the information when the system comes back up.

There's an Excel workbook for the emergency orders - it has a tab with an item master dump and a PO10 dump to assist the buyer to find lines and vendor contact information.

We need a process for longer unexpected downtimes. For instance is there a way to set aside a block of PO#'s for vendors that require a PO#

Unexpected downtimes are by their nature unplanned for. We haven't experienced anything like that here since the original Lawson go live in 1998. We would have to resort to using accounting units as POs and processing the invoices as non-POs.

If you can guarantee you are the first and only one into the system when it's back up you could mess with Last PO number on PO01, but you'd really need to test how.

On the PO Numbering tab of PO01 you can enter a Manual PO range. Then all you have to do is give each buyer a few of the manual PO numbers to use during downtimes. When the system comes back up and you enter those PO's in PO20 - you can enter the PO number (as long as it is within that manual PO range on PO01).
