Asset Tracking

We currently have a "home-grown" application that allows department managers to notify finance that an asset in their department has been disposed, traded-in, or transferred.  It really isn't working that well and I was curious what others may do for this..Paper process, another application?

We use a paper process - have provided steps below that are followed by the COE-Asset team



1. Inventory lists - use AM260 and macro to split into a separate spreadsheet per department.

2. AU Manager lists are provided by the HUBS

3. Memo template-- Change dates and contact person information and date due to be returned

4. Disposal/transfer form – or we can use excel spreadsheet returned to us

5. Send the asset list, updated memo and a blank Disposal/Transfer form to the manager listed for each AU.

6. Create a list of the AU's that have an asset list to track the responses from the managers.

7. Add columns for Managers, Date sent, Date received, Response, and Notes

8. In the Manager column list who it was sent to and fill in the date sent

9. When receive a response log it in the Date received column

10. Response list is shared with local Finance and encourage local Finance to request managers to respond
