Automated AP 3rd party software

We are looking into some AP automation software.

Does anyone have experience connecting/interfacing Visual with a 3rd party software for automating AP?

Any advice/suggestions on software to use or what to look for that will allow integration with Visual.

Your thoughts will be greatly appreciated.

The software should be able to create the invoices in Visual automatically after verifying that it matches to the PO.

The software will to be able to read data from Visual,(PO's and receipts) and write data into visual. (Invoices)

Here we used Sensaas, but not exactly how you want.

PR: the PR is created in Visual. We have a macro “Ready to process” that we run manually. This will create an XML for Sensaas. In Sensaas, we have an approval cycle and after the approval it return a .OK or .NOTOK. Another small .exe will change the status in the PR. If it’s approval, Sensaas will sent an email to the buyer.

PO: We create the PO and a macro “Ready to process” with the same logic.

Receiving: We receive in Visual and we have an SSRS report for the details of the receiving. The SSRS report is scan to Sensaas.

Invoice: The invoice is sent by email from our vendor to Sensaas. An automatic 3-way match will validate that the PR/PO/receiving math (quantity and amount) if so, a.xml is sent to Visual and another .exe will create automatically the invoice in Visual. If not, we have to correct it manually. If it’s a non PO invoice, we have a approval cycle in Sensaas and if it’s approve, a .XML will be create and the service will create the invoice in Visual.

It’s all small services running on the server. The most comments I received it’s that process is too long. Because Sensaas is in the cloud, Visual and Sensaas communicate via an sFTP, so nothing it’s immediately transfer from one to the other. Also, in the cloud, you don’t have control on the change they do on the software. The last thing, it's a nightmare to debug.

When you receive the .XML from Sensaas, what is the process to get that information into Visual? The .exe that creates the invoices in visual, is that a custom .exe, did you get help from Infor to create it? I understand how the process should work, I am just unsure where all the parts come from and who is responsible for making them all work together.

I was hire after the go-live. What I know, we worked with a company here in Quebec to program the .exe. One person there was part of the implementation of Visual here (long time ago). As I know, we didn’t ask Infor or another service provider approve by Infor.

The sFTP was the limit of each. When the exe read a file, copy it into an Archive folder. It’s a lot easier to see where the problem is. The exe run as a service and it create the invoice by inserting it in the database directly. We implement a few validations (invoice no doesn’t exist, receiving not already link to an invoice, PO and receiving exist, ….) before we created the invoice and we have a custom table with success or fail column.
