Configuring Fax Integrator for RightFax & vice-versa

We're looking to bring in and set up fax integrator in-house to deal with out POs out to vendors via fax or email. Instead of using Windows Fax Service, we'd like to use RightFax that we already leveraging for enterprise-wide faxing. How exactly does the setup go between these 2 components. Could someone break it down into steps of what we have to do to make the two work together. Out Rightfax resource is fairly new so he's still learning. All input appreciated. Thanks.

If you have Right Fax installed there should be no need to install Fax Integrator. We are using Right Fax to send out PO's and APInvoices and do not have Fax Integrator.

@jreese I would be curious to know how you have that setup specifically.

The only way we got Right Fax to work with Lawson (v10) is to send faxes as email to Rightfax and let RightFax send it as a fax. I'm not sure on the specifics on how RightFax is setup to receive emails, but it takes the fax number as part of a formatted email address and sends the email as a fax to the recipient. So we're using the Fax Integrator tool, but only to send emails now.

High level overview: Fax Integrator pulls files from the LAWDIR/<product_line>/fax/out directory (and /email/out) directory for faxes and email, respectively. Then it transfers them to a fax server (such as Right Fax or Biscom or Microsoft fax) for transmission.

Unfortunately if your LSF is a remote server, Fax Integrator only uses FTP (i.e. unsecured FTP) to pull the files. Fortunately, you can use alternative methods to securely pull files from LSF to the Fax Integrator server to a local directory. The result is that your remote LSF files are delivered locally and available for Fax Integrator to process.

Fax Integrator is configured to look at the local directory (%LAWDIR%/<product_line>/fax/out -or- /email/out) to process the files.

If the destination is the fax machine, Fax Integrator send the fax to the Fax Service (Right Fax, Biscom, MS Fax, etc.) as a fax.

If the destination is email, Fax Integrator will format an email message and send to the SMTP email address.

Here in lies the gold: Most fax servers (and remote Fax Services) can be setup as SMTP servers and will accept the email. Then based on the "email" destination (NPA-NXX-XXXX@your.faxserver.com), they will convert to fax and email (--err--) fax the email to the destination.

Additional thought:

Security is a problem with email transmission when the destination is a remote system: the email is not encrypted. Thus every (!) SMTP relay and every (!) router between you and the destination can read the message.

Which could explain why your email server is hammered by solicitations and phishing about any item that was just ordered.

Checking with our SysAdmin, our 3rd party check printing app pulls the files from the Lawson directories and creates the file and attachments needed for Right Fax. We chose this approach so we could get what our users call "pretty" POs and Invoices rather than the ones produced by Lawson. Also, Fax Integrator didn't handle APInvoices and we needed the ability to Fax those as well.

@CGaware - The sourcing part about Fax Integrator picking up the file from a Lawson Directory won't be a challenge. We can FTP to our LSF server to get the files. The destination would be RightFax as mentioned earlier.

You mentioned configuring Fax Integrator to send the fax to Right Fax? If you have the steps to get this done, i'd truly appreciate it.

@ jreese - This also came up in a conversation i had elsewhere. It's a legit point. Why tack on something extra if you can get it done with what's at hand? I plan follow up with our MMIS team - they may not be aware, so i'll bring it up.
