How to get the matching value for input parameter within workflow stored in SQL database

Hello!

I am sending out the order notification when order gets created to our customers. I am using activation policy to activate workflow and workflow is sending out the email notification.

I have new requirements to send out the email to sales rep as well, but my BOD for sales order contains only ID for the sales rep and not the email.

Now I need to get the email for the sales rep which is stored in sql database, how do I get the email within workflow if it is not on my BOD.

The scenario itself makes sense and should be achievable. For instance, if extracting the order data from your ERP and your sales rep contact info is part of the data set, it could be as simple as extending the BOD to include the sales rep's email address. Infor XA has a nifty solution for this, allowing us to add elements to the user area of the BOD. From what you've described so far, this might not be an option for you.



Assuming the above doesn't apply to your situation... There are activities that could be added to the workflow to go out and fetch the data stored in SQL (or other location). It wouldn't be part of the BOD that activates the workflow, that would remain as is. In the workflow you would be setting a parameter that could be used in your distribution list.



Here's another idea, how about using a decision table with business rules? I've used this approach to determine approvals by assigned resource per region. Much the same as what you're describing. The ION Desk User Guide provides additional detail if you'd like to learn more.
