when should I make a file template for the file connector, and when it is not mandatory, I don`t know the difference?

You can use a file template when there is a requirement to use a custom document format. For example, if you have an XML with a custom format, you can define that as a file template and define a new document name in ION and use it in document flows. If you can work with the documents which are already provided by Infor, you don't need to define a new file template.
