Adding a Basic Certificate Program

1. In admin Select the Certificate Icon, Select the ‘…’ then Add Certification Program
   1. 
2. In the next screen Type in the Name of the Certificate Program, the Certification Program Description(Optional), check the First Option “ This Certificate Program will only contain one or more requirements the user must complete to earn certification”, then hit next
   1. 
3. On the next screen Review the information you entered and select Finish
   1. 
4. Once added, select the Certificate Icon from the Admin Menu and select the Newly Added Certificate Program.

5. Select General Options and then Edit Program
   1. 
6. You will be presented with several configurable options for the Certificate Program. Please review the following information and the description of each option

   §  Cert Program Name §  Program Code – Optional in LMS §  Active – Whether Certificate Program is Active/Available for users §  Display Requirements user are not enrolled into - If a Certificate Program has different Requirements on other levels, if you enable this option, the user will see the requirement for the Certificate that appear for other users. §  Associate Certification Document – This is the document that the Certificate Program will use when a user completes the Certificate Program §  Description – Description of the Certificate Program §  Program Notes – Can be used to provide additional information to users.   Certificate Document Properties Organization– Will replace TOKEN within Certificate Document   Body – Will replace TOKEN within Certificate Document   Signed by - Will replace TOKEN within Certificate Document   Signed by Title - Will replace TOKEN within Certificate Document   Certification Management Properties §  Allow Cert Doc to be changed in other Levels. This can be used to allow a different Certificate Document to be assigned on different levels.   Certification Reset Reminders §  First reminder §  Second reminder §  Third reminder *If 0 is used, no Reset reminder will be sent, however, if a Reset Notification is Enabled, that will be sent to the user*

7. After you have made the necessary changes press apply and let’s continue to the Program Structure to add Courses/Curriculum. This can be done by going to General Options then Modify Program Structure

8. You will see the following screen with the some icons
   1. 

   2. 	Manage Certification Rules -Settings for Completion Deadlines, Certificate Expiration, Certificate Maintenance, Annual Recertification, and other small modifications
      	Manage Requirements -          This is where you will add Courses/Curriculum -          Set the Certificate Completion Requirements (Credits to Pass) -          Set which Courses/Curriculum are Mandatory or Optional
      	Use Multiple Requirement Groups (Advanced Cert) -          This allow you to change the Certificate Program to Advanced **Once added you cannot remove**
      	Use Multiple Levels (Advanced Cert) -          This allow you to change the Certificate Program to Advanced **Once added you cannot remove**

9. To Add Courses/Curriculum to the Certificate program select the  icon
   1. 
10. You will be presented with the Following Screen
    1. 

    2. 1	Credits Required to Pass	If the Check box is not Checked, you will need to specify the number of Credits required to Complete the Certificate Program. -          If this method is to be used, ALL Mandatory Items will still need to be completed before the Certificate Program will move to Complete even if the Credit Requirement has been met.
       2	User must complete all requirements that are present in the current level	If Checked all items in the Requirements section will need to be Completed whether or not the requirement is set to Optional
       3	Add New	Allows you to Add a Course or a Curriculum to the Certificate Program.
       4	If Course/Curriculum Added – Blue Name Link	Selecting Name of Course/Curriculum allows you to edit Credits, Mandatory settings, etc
       5	Under Action	Window Icon allows you to set Equivalents for the Requirement.     X will remove the Requirement from the Certificate Program   **Does not equate to Other Equivalents which were set outside of a Certificate**

11. Select the Dropdown option next to “Add New” to select Course or Curriculum then press Add
    1. 
12. You will now be able to select the Course/Curriculum through the drop down or by using the Advanced Search. Select the Course/Curriculum, then modify the Credits the Course or Curriculum will be worth for the Certificate Program. If the item will be a Mandatory Item for Certificate Completion, then check the box. If the item will be optional for Certificate completion, you will uncheck this box. Automatic Enrollment option should be checked if you want the Requirement to be added to the User’s profile. Otherwise users will need to register into the requirement.

    2. Credit	Assign a Credit to the Course/Curriculum (Must be greater than 0) that will be counted towards the Certificate Completion
       Mandatory	Check if the Course/Curriculum is Mandatory for the Certificate to Pass. If Unchecked the item will be optional for the Certificate to move to complete, if the “User must complete all requirements that are present in the current level” is left unchecked
       Automatic Enrollment	If the Course/Curriculum should be assigned to the user when the Certificate is added select automatic enrollment. Most of the time this option is checked.

13. Once the options have been selected Press Apply to Add this item to the Certificate’s requirement list
14. Repeat the process until all Requirements have been added.
15. Before moving onto the next step please review the Manage Requirements Section shown in Step 10. Additionally if you would like to set Equivalency for the Certificate Requirements an additional guide will be created.

16. Now we will set the Certificate Rules for the Certificate Program. Select the Manage Certification Rules Icon,  . This will be in the Modify Program Structure Area of the Certificate Program

17. You will see the Following Options. Select the Option that will fit your needs followed by the appropriate options

    1. Basic Certification vs. Annual

       1. Basic Certification contains Deadlines, Expiration, maintenance settings, and recertification
       2. Annual just has the option to reset the Certification each year on a set date – Simplest
          1. NO Deadlines and NO Maintenance settings
    2. Basic Certification - Certification Completion Deadline
       1. 

       2. Basic Certification - Basic Certification contains Deadlines, Expiration, maintenance settings, and recertification
          Certification Deadline	Ø  Never Ø  Date: Calendar Ø  From  Date/To Date – Complete between that time frame Ø  After enrollment days/months/years Ø  Enable the user to earn Certification after the deadline has passed. This does not prevent a user from completing the course

    3. Basic Certification - Expiration
       1. 

          Basic Certification – Cont.

          Certification Expiration

          Ø  Never Ø  Expire after completion in X Days Ø  Extend Expiration to the end of the month. Example of this option: 30 Days after Completion would fall on 10/26, this option would adjust it to 10/30. Extreme side is possibly falling on 10/3 would extend to 10/30 Ø  Expire In X Months Ø  Expire in X Years Ø  Expire at the End of the Current Month Ø  Expire at the End of the Current Quarter Ø  Expire at current year Ø  Certification Expiration Date based on set Calendar Ø  Expire on set Month, Day, X years. As Shown this will reset the Certificate on January 1st Every year

    4. Basic Certification - Maintenance and Recertification
       1. 

       2. Basic Certification – Cont.
          Certification Maintenance	Ø  Allow a user to maintain a valid Certificate, by utilizing Certification Maintenance a User will be able to Recertify with a valid Certificate(Will show as Maintenance instead of Certified). This may be needed in situations where an Employee is unable to work without a valid Certificate.
          Recertification	Ø  If the Certificate expired, this allows the user to recertify after being expired

    5. Annual Certification
       1. 

          Annual Certification
          Annual Certification	Certificate will be reset on a set date yearly   There is no Maintenance,  No Deadline, and Recertify is Null as it is certifiable after the reset date.

18. Press Save/Apply after you have selected the type of Certification Rules and the settings pertaining to those options
19. We will now proceed with Notification Settings for the Certificate Program
20. Go to General Options→ Notification Profiles. Select the appropriate options
    1. 

    2. If these are not checked,  Certification Notifications will not be sent out   Can be modified per Certificate Program and Level.   Using Edit can allow you to Modify the Certificate Program Notifications   These items may or may not be checked. Depending on the requirements of your organization and how the current Notification Profiles are used you may need to verify which options will be applicable.     Certification Notification Profiles will also need to be enabled in order for these options to be effective.

21. After having added the Certificate Requirements, their equivalency(Optional), Certification Rules, Notification Configuration, we can proceed with the Enrollment Rules for the Certificate Program.
22. To access the Enrollment Rules for the Certificate Program Go to General Options→ Modify Enrollment Rules

    2. Modify Enrollment Rules - Options
       Enroll all Users in the Selected Level	This is similar to the Default option which will assign ALL Users. - This is also level specific
       Enable Self Registration for this Program	This would enable users to self register into the Certificate Program o   Depending on the Distribution settings this may cause conflicts if Keep Existing Users for the Certificate Program Distribution is Unchecked
       Enable Automatic Distribution	Would enable the Admin to use the Distribution Process – Enable if Distribution Groups or Rules will be used for the Certificate Program

23. Once the Options have been selected press apply.
24. You may now assign Users to the Certificate Program, Assign Distribution Rules or Groups, etc.
