Inbasket Customization in V11 Financials

Hi,

I am working on Invoice Approval IPA in V11 FSM for a client. I need your help with the below requirement and please share your views on whether it’s possible to achieve using LPL?

When the Invoice Distributions are out of balance, client wants only the “Reject” button to be visible on the Inbasket approval form or action item. When the Approver adds the required Distributions on the Invoice in Inbasket and once the Distribution are in balance, client wants to see both “Approve” and “Reject” actions to be visible on the action item.

The actions (Approve, Reject, Reassign) depend on the actions that we enter in the IPA User Action node. Below is the screenshot of the Invoice, which has out of balance distributions.

Also, the client wants these actions visible only when the Approver opens the work item as shown in the above screenshot, not when the Work item is just selected from the list as shown below. I need to hide Approve, Reject and Reassign actions. Is it possible using LPL?

The solution is to modify the process flow.

1. Add logic in the flow to determine if distributions are in or out of balance; this should be pretty straight forward.

2. add a branch node in front of your user action node.

- if distributions out of balance, goto a UA node that doesn't have an approve action

- if distributions are in balance, goto a UA node that does have an approve action.

The financials team will not be able to assist you here; the approve button comes from the User Action node your flow is processing. The Landmark Environment UI code renders those buttons accordingly and are not coming from any LPL. Thus no config console work will enable you to hide/modify them. You must modify the flow.

Vikram, we are not on V11 Financials. But, couldn't you create a conditional field that checks to see if the distribution is out of balance, then when that condition is met, it hides the approve action on the form?

Unfortunately the ask from the customer is not doable. You can make it not present the Approval button as Russel suggested. But the user will go into the invoice and add the distribution which will put it into balance. But this action does not restart the process flow so it can not present the Approve button. Only when the user takes an action with the Work unit restart.

We made our process flow check after the user clicks the approve button to verify if the invoice is in balance, if it's not it gets put back into their inbasket with the notify email including what the invoice total is and what the distribution total is.

You could have the flow check for the out of balance condition, and if found, reject the invoice automatically. Send an email back to the entry clerk explaining it was out-of-balance.
