Email Payslips - GDPR issue whereby an employee did not receive a payslip but a word document of ano

Hi all,

Just reaching out as I'm still waiting to hear back from Pegasus on a serious issue which occurred with one of our customers last week.

They have a large 687 weekly payroll, which they run the email payslips in smaller batches and within one of the batches 1 an employee did not receive a payslip, they received what looked like it was their payslip as it was a pdf, password protected with their email payslip password but when they opened it was a document about another employee which contained very sensitive and confidential information so a huge GDPR issue.

When I looked at the PssImage folder it jumped out like a sore thumb as the size of it was approx. 1600kb whereby all the other images where around 6kb to 7kb and it was in the middle of a batch so all the other payslips where fine?

Just wondering has anyone came across anything like this before? And any idea what on earth could cause this?

Not come across this myself, but quite a while ago Opera had a lock put on PDF printers where a Terminal Sever was in play as there were documents that copied over another in rare circumstances.

If it is Terminal Server (RDS) then it might be down to that, or it might now be an issue even without RDS; machines and networks are more efficient now, I guess.

KB 580703 explains why it was introduced and gives details of how to take off the lock, and therefore how to put on a printer lock (via systemsettings file).

It would be interesting to know if publishing to email is affected by this setting; if not, it maybe the reason you got this erroneous overwrite.

If the erroneous document was not produced at a similar time as the email payslips, then I am not sure why it would pick it up.

Hi Claire,

Yes I had this many years ago, Pegasus said they had addressed this in a subsequent release, This did not go down well with the customer and they immediately reversed back to printing payslip and have never moved back to email payslips.

Thanks Tony, no RDS in place - just Windows 10 PC's but going back to a 2008 server (which they've been told needs addressed asap). Thankfully it hasn't happened again, hoping it was a one-off but still concerned.

Hi Simon, that is not good. Our customer has been using the email payslips since 2017 and never had an issue, so they have an old 2008 server which isn't good so putting measures in place to keep an eye on it and fingers crossed it doesn't happen again.
