Third party OCR invoice scanning integration

We currently use a third party paper invoice scanning solution which converts the invoice data to EDI 810 and integrates with MHC and then to CSF (along with regular EDI invoices). We were wondering if any other customers do this, and what vendor specifically you use for the third party scanning piece. We are not interested in bringing scanning back in-house for processing. Thanks.

We are using IPS. They scan and process our paper invoices, dropping them into our Infor Document Interface via API complete with PDF images of the actual invoice. We then have custom IPA flows which bring in the invoices from the interface and route them for approval.

This is very similar to what MHC does for us, but they don't have the scanning service in their business model. MHC stores the invoice images and we link back to that image in CSF on the invoice pages and in GL detail.

Would Supplier Portal reduce or eliminate the need for paper invoices and OCR sollutions?

MHC is a reseller of Brainware, and while we already owned it because we are a Perceptive client, MHC is going to do the implementation.

No Supplier Portal allows for communication and upload of documents, but even if documents are submitted electronically they either need to be OCRed or manually entered to get them into Infor.

Hi-

We are using the supplier portal and ask that vendors use the invoice entry function that is part of the portal. They also attach a scan of the paper invoice to the invoice on entry. This eliminates our staff entering most invoices. AP staff still enters the odd one off invoice by the vast bulk of our invoices are entered by the vendor on the portal.

We're a single-tenant client on version 11, CU79 (11.0.79.0.9545)

I stand corrected on that. It is amazing your vendors will do all of the data entry on that but it probably gets them paid more quickly.

Just curious if anyone has done this without a third party software, for example just bringing in the invoice image and referenced with the invoice that has already been entered. We would like to do this thru a batch type process (aka have 100 or so invoice images) drop them in a location (this location is unknown) then pull them in with an IPA flow (or whatever is suggested) into the AP module of FSM so that when anyone views the invoice they can see the image of the invoice.

If anyone has any suggestions, we would appreciate it. (I thought it would be best to add this question here due to the topic to keep it all together.) Thanks!

Does the filename include the invoice number, or any information to uniquely identify the associated PayablesInvoice record in Infor?

If so you could either create a PayablesInvoiceDocument record that includes the attachment in IPA, or add the Document to IDM using API calls in IPA.

Yes the filename as the invoice number.

Just to clarify if we add it to the PayablesInvoiceDocument via IPA, is this all we need to do to have it available for our AP team to view with the invoice? Just want to make sure we do not miss a step.

Yes the PayablesInvoiceDocument business class correlates to the "Documents" section on the "Documents" tab on the invoice. You may also want to include the Vendor ID and Payables Company in the filename, as Invoice number is generally unique to Payables Company and Vendor.
