Job Descriptions

Our employees and front line managers value having a printable PDF of job descriptions that would pull from the job components within the system such as summary, responsibilities, experience, qualifications, working conditions, etc.

I have created an enhancement request to add this functionality and would appreciate your votes of support. (ER97167)

Yes, THANK YOU! We are a global organization, so we don't put any description details on the position (upkeep nightmare with 5000+ positions). I'd love to be able to have a toggle in the setup allowing job to be displayed for leaders and workers instead of position. If the job stuff is getting touched, I'd also love for formatting boxes (similar to the position) to be available!

Can you be more specific about your request to display the job vs the position? Where would you like that displayed? The qualification information from the job also gets added to the position. Would it help if other fields defaulted from the job to the position (Summary, Responsibilities, Other Information)?

sorry I wasn't specific. I'd like for Summary / Responsibilities / Other Information to have the ability to be fed automatically to the position from the job. We're not using qualifications, etc yet so didn't know those cascaded. Perhaps something on the position setup that we could default to "cascade from job"? We do have some countries where descriptions have to be altered based on the local Works Councils, but having those fields default in would be a big help! CommonSpirit also needs functionality to provide a PDF. Will endorse this ER once I get Customer Central to load ERs. (Been having significant difficulty with this for the last 2 weeks...anyone else?)

We collectively refer to all these components of a Position as the Position Description (summary, responsibilities, experience, qualifications, working conditions, etc)

As Karen mentioned, maintenance is a nightmare. We have 1700 jobs and 88k positions.

A few difficulties we encounter:

There is no mechanism to submit a Position Description change that routes through a flow (including manager approval, Compensation, etc). The change is immediately approved when entered (based on Effective Date).
The free text sections do not reference a library of phrases. For example, the same line of text must be maintained in each description, rather than referencing a variable that can be maintained once.
Our internal policy states when there is a material change to a Description, the Resource must be presented with/acknowledge the updated Description. This is not possible without significant manual work.

Hi Matt,

Just a few thoughts on your Reply about our experience with those same challenges:

1. There is an out of box process flow for Position Update. The Service Definition is RequestPositionUpdate. It should be available on the DirectSupervisor Role. You can modify the process to meet the needs of CommonSpirit. There is not however an update flow for Job.

2. For the approval or acknowledgment by the employee, we have created an IPA flow that looks for an update to the Position (you could also look at the job), and then sends a task to the employee through the Transition Management module for acknowledgment and notification. We do have some parameters around what qualifies for an update that needs acknowledgment by the employee. That task is then reportable to HR and the Manager as well as triggering reminders in the system. A few years ago we created a customization in Performance and Goals that pulled in the Position Description and they had to acknowledge it for their annual review. The new Transition Management process is so much less maintenance and is always up-to-date.

Thanks for this - we hadn't gone down the path to use Transition Managment to acknowledge - that's going on my "to do someday" list!

We do use the "Request Position Update Request", but have found that when we process transactions through that IPA, it does not process the changes through to our payroll system (ADP)- the correct export records don't get created. So, our HR folks submit position updates, but we then have to go in to the position itself and update there, indicate that we've made the update in the comments field but then reject the actual request. I think we have an issue open about this but I would certainly test with your payroll system before implementing. Positions are not something we wanted our leaders to be making changes to, so we have disabled that from the DirectSupervisor role and our generalists process instead.

We are reviewing the requirements for the request. Our intent is to create two pdf reports - one for the Job and another for Position information.

A question we are soliciting feedback on is if you want to create the pdf individually per job or position? Or are you looking to mass produce the information in one pdf report - the result would be one pdf with all of the related information for each job or position?

Here is an idea...

Is it possible to select through a setup screen all of the job AND position components you want to include on the Job Description?

This way if the organization hasn't defined certain components, then it is not on the paper JD and showing blank with the header of the component type.

Bill, we actually have a need to create single job or position PDFs, but would also love to be able to print an entire job family or job category (or position category) or our entire catalog of active jobs. As we are doing job description reviews, it would be helpful to have something nicer looking than what ISD gives you but quicker than going in and printing to PDF for many jobs at a time.

Thanks for this! I will float the concept with my users that every change to a specific area on the Position Description would result in re-acknowledgement by the Resource. This would handle direct update vs those updated via the Flow.

I still have the gap that an update by one COE (possibly to qualifications) may require an update by Compensation. Direct updates are certainly simple to make, but not as easy in situations like this.

Appreciate the idea of IPA to generate a Transition Task!

If the COE submits the request, then you could update the IPA to route to Comp. I don't remember if it came out of the box that way or not, but currently for us, Job, Position & Position Update requests all route through our Compensation Inbasket before coming to the admin team for final approval.
