EDI 850 - Transmit PO Number Without PO Code

Is there a way to prevent the PO Code from being transmitted as part of the PO Number when using EDI 850?

Example: Our PO Number may be 231924; however, because it has a PO Code assigned to it, what is being transmitted is 231924-MIN.

I know there is a DerivedPONumberAndCode field; perhaps this is being used? Not sure if this is standard, default behavior or if we have a setting flagged to do this. If anyone has any knowledge on the topic, input would be appreciated. Thank you!

We have not found a way to do so, though I defer to the team here. I will note there is an enhancement request out there for this. It's 97799

There is not currently a way to not include the PO Code as part of the PO Number in the 850 transaction.

For S3 customers, the PO Code is a key field for the PO and is therefore appended to the PO number with a hyphen in the 850 and expected to be returned in that format in the 855, 856 and 810.

This functionality was carried forward to Infor FSM Cloudsuite. However, PO Code is no longer a key field for the PO in FSM. An EDI Data Substitution record could be provided to disable including the PO code. I believe the default behaviour should continue to be to include the PO code because that is the exiting functionality.

An issue was reported recently with an 810 invoice for a PO that had been emailed or faxed. The PO number on the “print” has spaces around the hyphen. Either through OCR or manual entry, the PO value included the spaces and the translation process did not expect/handle that scenario. That issue has been fixed and included in the 2023.10 release.

Are there other business reasons/scenarios for not including the PO Code?

As an example of not including the PO Code, we started utilizing a PO Code of MIN to help with process flow of our vendors which had a minimum order amount. On the Manage Purchase Orders list view, a Buyer may be researching a PO and note that the PO number is simply the number itself:

The PO Code is not even visible on this list view by default; we added it as a personalization to help identify these problems.

Even when you go into the PO, the header shows the number only:

A Buyer provides that PO number to a vendor for the vendor to reply that they have no record of that PO number. Which, as you know, is because the PO number in the vendor's system includes the hyphen PO Code suffix:

As you can see, the 855 and 810 also include the -MIN, so there is no issue for us there; however, it has just been a nuisance for some of our end users (and a learning experience) that what they see in our system as the PO number may not be the actual PO number the vendor has.

We will learn and adapt, and I am sure we could brainstorm other creative ways to accomplish what we are doing with the MIN code; however, I greatly support your idea of including a Data Sub record which would exclude the PO Code from transmission. This is an instance of when we would want that to avoid this confusion.

I agree with this explanation of why it shouldn't be included in the 850 output, but would be happy to have the option to exclude it with the data sub record.

For those that have implemented this enhancement from the April 2024 CU, can you tell me how you are creating this EDI data sub record? I wasn't clear on what would be entered in the partner value field. Also, do you need to create a record for every supplier, or can you create an overall record to apply to all vendors?
