New Infor OS Portal design - adoption questions

The announcement of the new Infor OS Portal leads to a few questions we have. If you are an Early Adopter, or someone who has made rollout plans we''d appreciate hearing your thoughts to these questions or any other comments you might have.

- What is your tenant rollout approach to your IT group and your users?

- How much changed for user's typical workflow?

- Any lessons learned/considerations/suggestions?

- How much IT analyst time was needed to understand/familiarize with the changes?

Hi JeffBr - Here are some quick-fire answers. We'd be happy to provide more detail if needed though.

We only rolled it out to our PRD and TST tenants with a few users so far. The plan is to roll it out to all users by the end of the year. Our FSM support team took it first then we gave it to a few super users. They will help us roll it out to all users after we get a big organizational project out of the way.
No change to typical workflow within forms, but with the addition of Workspaces, Smart Panel, and an improved Navigation Menu users will be able to get between apps, access widgets, and navigate through the system much easier (pinning workspaces for quick launch and making defaults). All of the users we have rolled it out to so far have been excited about it.
Still getting to know everything, but I think there are big opportunities with the Infor App Designer. Creating widgets for lists, charts, forms, counts, etc. and deploying them in the Smart Panel in Workspaces should end up saving users clicks from having to go and get data on another page.
It took my team only a few hours to really understand what most of the options were, but we aren't good enough to build widgets from scratch yet. The widget is a zero code implementation, but you setup data services and we are learning how to do that.
You can train an end user in 30 mins or less on how to use the new features. It depends on how much functionality you want them to have (ability to create new workspaces or only use what you roll out).

Your training scripts/materials should have minimal impact since you still go to the roles, menus, forms, jobs, etc. that you are used to going to. The click path to launch things will change a little, but FSM will display the same within the Infor OS framework.

We've been part of the Early Adopter Program for Infor OS Portal. The following has been our experience regarding some of your queries:

- What is your tenant rollout approach to your IT group and your users? We chose to migrate our PRD environment to a select group of users. This afforded us the ability to use Infor OS Portal as though it were already "live" for our enterprise. Once we're satisfied our Infor OS Portal implementation is stable, we will begin to provision it to our end users in waves.

- How much changed for user's typical workflow? Our users' typical workflow will improve by affording them functionality to all Infor applications within the same browser tab eliminating the need to have multiple browser tabs opened to work in multiple Infor applications.

- How much IT analyst time was needed to understand/familiarize with the changes? It has taken our IT Team less than 20 hours to understand/familiarize the changes. Infor has been diligent and proactive to provide the necessary resources to enable the transition.

We are still in the process of finalizing training for our users so we are not able to fully address those concerns.

- What is your tenant rollout approach to your IT group and your users? We have a small group of users in PRD, TST and TRN environment using the portal. Our plan is to roll it out to all users in the 3^rd quarter of the year.

- How much changed for user's typical workflow? Our average user tasks are performed with the M3 App. This area does not change a lot for our daily functionality. The additions of homepages to workspaces and bookmarks available in one screen does help with navigation. The addition of side panels and the App designer improving widget capabilities will greatly assist with common tasks and display more relevant information.

- Any lessons learned/considerations/suggestions? I have learnt to create widgets in the App designer, the benefits of pinning commonly used workspaces and apps. I would consider what are your companies most common tasks and issues are. I suggest making use of all the training materials and watching all the App designer videos. Start with well-known data tables with a simple concept. As you become more confident and knowledgeable you can make it more complicated.

- How much IT analyst time was needed to understand/familiarize with the changes? Our company is already using H5. The portal is not a lot different and was easy to manipulate and learn. Finding the settings and security for workspaces was the biggest change for us.

- How much re-training was needed? We believe the retraining will be minimal. We plan to create an introduction video to roll out prior to the rollout.

- How much regression testing was needed? We used it directly in our PRD environment and considered our daily use testing. We had no issue with the cross over.

- What was the impact on training materials and test scripts? Our training materials and scripts will not change. We will produce an introduction video and document explaining the move from homepages to workspaces. All other functionality for our end users will remain the same.

Now that the tenant I'm currently working on has OS Portal in trial mode, I'd like to clarify a point of understanding.
If I have carried out several migrations concerning user data (essentially their private pages or bookmarks) which, without action on the client side, will be lost if I understand the procedure correctly, what happens to this data when the migration is finalized by Infor?

Will it preserve the data of users previously migrated with the tool provided and not overwrite them? Does the finalization only concern the tenant data (the left-hand side of the migration tool)?

Because I don't think this is clearly stated in the migration instructions.

If Infor does a data migration when a tenant is finalized, data that has already been migrated will be overwritten.

If you wish for migrated data to be preserved, you can request that Infor NOT perform a data migration when the tenant is finalized. However, my recommendation is to disable the migration tool directly from within the OS Portal. This puts the customer in control because, when disabled, the migration job from Infor will not update the tenant.

Customer can easily re-enable the migration tool at any time until the tenant is in finalized, at which point the tool will no longer be available. This allows the customer to perform multiple migrations, if desired.
