Limit Ordering in RQC

We're currently looking for ways to only allow a few users the ability to order certain items in the item master. We don't want all users to be able to order these items only a select few. Anyone have ideas on how to do this?

Hi Neil,

We had the same issue with some of our pharmacy items and ended up using purchasing classes to dictate which requesters could order those items. We created a new purchasing class called PHRM and then assigned it to the items we wanted to restrict and then only added that purch class to select requesters in RQ04. So far we haven't seen any issues with it. I would love to hear what methods other folks have used, as I'm sure there is more than one way to go about it.

I haven't found a way yet that my users cannot (and do) work around.

Issue Account - users would change the GL on the line
Classes - could not maintain overtime we have to add all the ones they CAN order to each requester.
Location - again - users would change on the item detail when receiving an error on RQC.

We are currently trying by adding the items as INACTIVE to all IC12s except the one warehouse. Then we created a template for that warehouse and only gave the select requesters rights to the template. So far this is holding because RQC won't add it to the cart if it's inactive on the IC12 so my users can't be clever!

The only way I know of outside of building some convoluted security rule is to assign a purchasing class to those items as Neil explained. We tried this in the beginning but it got too difficult to maintain. Not only do you have to assign that class to those requesters that you want to be able to see/order those items, but you have to assign them all the other purchasing classes as well or the only items they will have access to are the restricted ones. Also, requesters that don't have any classes assigned will have access to all items so, as Kat said, all other purchasing classes will have to be assigned to all the other requesters that you don't want to be able to access those restricted items. Also you have to make sure all items in the item master are assigned a purchasing class; blanks will not be available to anyone once the classes are assigned to the requesters.

I like Kat's soulution. The requester would have to know in which location the items are active in order to change their From Location to the right one. Most requesters don't understand the concept of From Locations so they wouldn't even bother.

WAIT THERE'S AN UPDATE IN V10.

I went to show a co-worker what I meant with the classes and in v10 there is a NEW FIELD: VALIDATION OPTION on the Purchasing Classes Tab!!!!

0=Allowed Purchase Classes
1=Disallowed Purchase Classes

Being able to change it to Disallowed may be a game changer.

Interesting. We're testing V10 and I don't see that option. I'm looking at RQ04 Purchasing Classes tab.

Kat can you look at the RQ04PD and pull the version number of the actual program? We match versions you sent but don't see the field so it might have been part of a CTP you applied that upgraded the RQ04 program.

I opened a case with Infor and our RQ04PD version wasn’t up to date. We applied CTP110800 which brought us up to RQ04PD 45 <1840669406>. I can see the validation option now. There’s also a company selection on the Purchasing Class tab and a validation option on the Accounting tab.

And a new tab for Activity and Acct Category but I see no fields on it so I’m not sure of its purpose.

We are looking into using Purchasing Class to restrict all but one department from ordering a few items. With this new Validation Pption, can the Purchasing Class be added to the end user's RQ04 with the validation set to Allow? Would all other Purchasing Classes still have to be listed?

The other products / items / descriptions will show in the Item Search auto complete feature. However, if you select it, nothing is returned. For example, items green pen is purchase class pens. While green pipet is purchase class pipet. If I start typing pen, green pen will appear as an autocomplete phrase. However, if I select it, nothing is returned. As opposed to typing pipe and autocomplete displays pipet. If I select pipet, only those items with pipet as a purchase class are returned.

When defining the limitations for Purchasing Classes, if the fields are left blank, the requester has the ability to create requisitions using any Purchasing Class. Once you start entering in Purchasing Classes (to allow or disallow), you then begin to define restrictions.

For example with Purchasing Classes A, B, C, D. If nothing is defined the requester has access to all of them. If you say Purchasing Class 'A' = Allow, the requester can access ONLY Purchasing Classes 'A' and B, C, & D are defaulted to Disallow until you add them to the list as 'Allow'. Conversely, if you say Purchasing Class 'A' = Disallow, then the requester WILL have access to Purchasing Classes B, C, & D (until these Purchasing Classes are added to the list).

The process is the same for Requesting Location, Accounting, and Activity and Account Category.
