Enhancement Request for Report Catalog - Delivered Reports with Public View

For those of us in the Innovation Insights call yesterday, it seemed like there was enough discussion around Report Catalog that an enhancement request would get a lot of traction. Please review and endorse!

Hello,

In your example, by assigning a user Employee_ST role you're granting them EmployeeSelfService webapp access and all delivered reports that come along with the webapp. You can create a Delivered Reports policy (ReportSecurity businessclass) for Employee_ST role in UI Access Control to restrict delivered reports that you do not want your users to see. I've done this a few times and successfully hid delivered reports from our users.

You can also review all records in UserFolder businessclass where Sharing = Public. Switch Public to Private where appropriate. Occasionally end users accidentally create reports leaving Sharing on Public (and forget about them).

Between both mentioned above, all unwanted reports are hidden.

I couldn't see that ER for some reason.

There are options for hiding all delivered reports from all users, or hiding delivered reports from some users (based on Roles, using configurable features).

Is this what you were thinking?

Also, the word Public in the "Sharing" column is being removed from Report Catalog for all delivered reports. They are not public. Only users with access to the webapps that should see them will see them in the listing of reports.

Another way to hide some delivered reports is to Deactivate them in the Report Definition side (Admin Console).

When is the word "public" going to be removed? Is this part of the April CU?

When you say "only users with access to the webapps that should see them will see them in the listing of reports" - is this a new thing? We've always understand that employees (those with only the Employee_ST role) would be able to see all the public reports, but if they clicked into them they would only be able to see the data that they have the security access to. That was the crux of the issue - it caused confusion from employees because they either a) thought they had access to data they shouldn't have or b)they clicked on a report expecting to see data but they didn't

The word "Public" will be removed for delivered reports in April 2025. I "think" that change made it to pre-prod already. "Public" will still show for your custom reports, the ones shared to Public.

Honestly, if I were you, I'd find every custom report (UserFolder) and find a way to not have that be shared to Public. Very very few reports seem to apply as public, or appropriate or applicable to any user.

Delivered reports only being visible based on webapp security access has been the way it's worked since the first released of report catalog some 18 months ago now.
